Using Zapier to find Google Spreadsheet

Hi Zapier community!!

 

We currently use Airtable to collect data from clients through forms. We want to create a separate Google Spreadsheet for each client that gets dynamically updated with their data and that we can share with them. 

 

One option is to create a separate Zap for each client, so that when a record linked to that client is updated on Airtable, Zapier updates their specific Google Spreadsheet. 

 

But is it possible to combine those into one Zap, such that when a record is updated on Airtable, Zapier looks for the spreadsheet associated with that client, and then updates that specific spreadsheet?

Yes, you can do that in one Zap :) 

After the Create Spreadsheet step in your Zap, add the Create Spreadsheet Row action. In the Spreadsheet section, select the Custom option and select the Sheet ID from the Create Spreadsheet step to use in the Zap.

If you want to take this a step farther and cover both the “Create New Spreadsheet” and “Update Existing Spreadsheet” options, here’s something else you can do:

 

Step 1 watches for your new/updated Airtable record and gets the info you need to add to Sheets

Step 2 searches your Google Drive for a file matching the Client name

Step 3 goes 2 ways:

  • A: If a matching Spreadsheet Name is NOT found, then create a new spreadsheet (if you have an existing Spreadsheet with formatting you’d like to copy, you can select is to use as a template)
  • B: If a matching Spreadsheet name IS found, then a row is created with the info you’d like to add.

The only real “prerequisite” for this is making sure your spreadsheet names match your Client names in Airtable, but assuming that’s consistent then this should take care of it all for you!
