Hello,

I have a Zap which has 9 steps, the first 7 steps execute perfectly. However the last 2 steps in the Zap seem to be running 3 times.

 

Step 8 - Send email using Gmail (running 3 times)

Step 9 - Webhooks POST (running 3 times)

 

I have attached screenshots for reference.

  1. What proof do you have that those steps are running multiple times?
    1. Can you outline a specific example for us?
    2. Or is it that the Zap is triggered multiple times?

1 of the screenshots shows an email that has been sent 3 times (step 😎. Zapier should only be sending this once.

Also one email shows 3 duplicate notes added into my CRM system (step 9) instead of just 1.

 

I have also re uploaded the screenshots.


Zapier history is only showing 1 run of the affected steps. Screenshots attached

I recommend checking your Zap Runs to see if the Zap was triggered 3 times at the same time.

We’d need to see proof that the Zap was only triggered once.

Yes you are correct it looks like the Zap is being triggered 3 times for some reason.

Can you clarify what the Zap trigger step is?

 

From the screenshots we can’t tell what the Zap trigger step is.


Hi yes of course. The trigger is a Form completion on our job management system (Servicem8).

May be worth mentioning that the trigger hasn't changed, but its only since adding the final 3 steps that this issue has occurred (may or may not be linked).

You can try reaching out to Zapier Support to see if they can detect anything deeper in the Zap Run logs to pinpoint if the issue is on Servicem8 side or the Zapier side: https://zapier.com/app/get-help

 

If the issue persists, consider adding additional logic to the Zap to check if the form response has already been handled.

You may need to add a Delay After Queue step to the Zap in order to process Zap Runs triggered at the same time in successive order rather than in parallel: https://zapier.com/help/create/customize/add-delays-to-zaps#delay-after-queue

 

Things to check when you troubleshoot:

Is the Zap being triggered multiple times for all Servicem8 Form Responses?

  1. If yes, then there’s an issue.
  2. If no, then that’s likely a tech hiccup.
