How to automate status updates in Monday.com and upload DocuSign files

Please, I am having an issue with my zap and I need help.

 

I am trying to update column values in monday.com when a specific DocuSign envelop is sent and completed.

 

I want to send to DocuSign envelops and track them differently.

 

Aswell as DOwnload the sent and completed file into the Monday.com file column.

 

 

I don't seen to get the first connection, because on sending documents to different email addresses, it only updates on the email column, I chose during the zap setup.

I had to remove the filter I added to at least get the first step right.

For us to have info about the error, post screenshots showing how the Monday Zap step is configured in the CONFIGURE tab while in EDIT mode.

Please, The first issue is that the monday.com columns aren’t updating. I want it to be able to update the monday.com columns with the correct email address, but I think that the item ID, I chose in the next step is wrong. I tried to use custom but it give me an error.

I have a list on monday.com that I want the the docusign to, I need it to update to the right columns.

TIP: You can click field labels that are underlined to see tooltips with more info that may provide guidance.

 

For Step 2, you need to specify a value to search for in the “Email” field.

 

For Step 5, you need to map the ID of the Item found in Step 2.
Use the [...] button at the right of the field to switch to “Custom” mode, then use the [+] button to map the variable.

For Step 2, How do I specify a value to search for in the “Email” field?

Please, I have updated as you directed, it was successful without an error, but when I try sending an envelope to a different contact on my monday.com board. I run into error.

Check the DATA IN/OUT tabs for a Zap Run to see the data flow.

It’s likely an Item was NOT found in Zap step 2, thus why there was an error in Zap step 3.

Try adding a Filter step between those steps to check that an Item was found in Zap steps 2.

This screenshot shows there was no Item ID found from the previous Zap step.

Previous feedback was to add a Filter step before to check that the Item was found in Zap step 2.

I added a filter and it stopped the zap. saying item ID not found

 

Please let me explain myself better: I want to able to send docusign envelope to all these email addresses on this Monday.com board, more will still be added. Please is this the right automation?

 

Because, I am sending to a different email address from the ones I used in matching email and item ID columns. Please advice:

Try these Zap steps…

Zap 1

  1. Trigger: Monday - Specific Column Value Changed in Board
    1. Should be a Status column to indicate you want to send a Docusign
      1. e.g. SEND
  2. Action: Filter
    1. Check Email address exists from Zap Step 1 to use to search in Zap Step 3
  3. Action: Docusign - Send Envelope Using Template
    1. Make sure the Docusign Template has clear data labels
      1. Help: https://support.docusign.com/s/document-item?language=en_US&bundleId=gmi1660583110357&topicId=yis1665092718418.html&_LANG=enus
  4. Action: Monday - Upload Item
    1. Map variable from Zap Step 1 for the Monday Item ID
    2. Change the Status column value
      1. e.g. SENT

  1. Trigger: Docusign - Envelope Completed
  2. Action: Filter
    1. Check Email address exists from Zap Step 1 to use to search in Zap Step 3
  3. Action: Monday - Get Item by Column Value
    1. Search by Email from Zap Step 1
  4. Action: Filter
    1. Check Item was found in Zap Step 3
  5. Action: Monday - Upload File to Specific Column
    1. Map variable from these Zap Steps
      1. Step 3
        1. Monday Item ID
      2. Step 1

Please, we don’t want to send the envelop automatically but manually because we do changes relevant to the next person we’re sending to

Seems like zapier doesn’t get the email address of the sent document.

Show screenshots of the DATA OUT from Zap step 1 in the Zap Run.

If there is an email address present, then you may need to remap the variable from Zap step 1 into the Filter step condition.

Did you try remapping the variable for: Envelop Recipients Signers Email

 

NOTE: That is different than the variable you showed previously: Recipients Signers Email

I was able to add a formater, it passed some steps, yet couldn’t find the item ID

The issue may be related to how the data returned from Docusign is structured a bit different in EDIT mode vs LIVE mode.

Not ideal.

Without getting into the finer points, the solution may involve an advanced approach that uses custom pill mapping.
