Hi, I am new to Zapier and perhaps this is easy-peasy.

Is it possible to auto sort emails or excel spreadsheet data so that as emails/data auto sort?
 

The scenario

 

If it helps - please imagine people wanting a GROUP discussion (at least 2 people) on 1. a topic for 2.an age group on 3. a certain day of the week - and then linking them to a group of specialists, one of whom will be available to help (more likely more than one will be available to help, so there will need to be selection here. Either there is a selection process - first come first served? - or I have to select, or the group of people have to select the specialist. I am trying to solve the steps below first, but will need to solve this part as well. I’m sure it’s possible with automation, but ai don’t know how).

I want to create a form/email, that has 3 different options or columns. The form can come through to a spreadsheet (I know how to do this) or the email needs to be searchable and auto-tagged or sorted? (How?)

 

B. I then want to send out an calendar email invite (Doodle or similar) to those people who give the same answers in those 3 columns - individually or as a group.
 

C. And, the calendar invite (Or a separate one, after a date is chosen with the first group of people) needs to go out to match the group (at least 2 people) with a specialist (who responds, or is selected).

D. In addition, as there will be additional forms/emails coming in from other people with the same matches (topic, age, day) in real time, the same process needs to be repeated (in real time).

 

Essentially the automation is at the point of sorting form responses (or emails with different options selected) as they come in and sending group calendar invites out.

There will probably be more complications, but that’s it for now!

 

Any help with this puzzle, will be appreciated.

I’m not sure if you’re still looking for a solution to this, but as a starting point I’d say that using our Paths app would be one way to go. You can create one path per option in your form, then add the appropriate steps in each of those paths. Each path has a filter, so you make sure to add the criteria by which to determine which path a person will go through.

For example:

Path A: Only continue if form selection = option #1
Path B: Only continue if form selection = option #2
Path C: Only continue if form selection = option #3

The trickier part will be how to set up the calendar invitations. If you were doing them individually it wouldn’t be quite as tricky, as you could use something like Google Calendar’s Create Event action, adding the person as an invitee.

Any links, or which apps to use - would be great! I am busy researching on YouTube and websites in the meantime...but it’s a bit difficult when you don’t know what to look up!
