Zapier Gmail Issue: Triggering on Replies Within Thread

I'm working to create something like an AI chatbot integrated with Gmail and ChatGPT automated through Zapier.

However, the issue is that my Zap only triggers when a new message begins and doesn't process any replies received within the thread, despite setting the trigger to "New Email" and the mailbox to "Inbox." It seems that Zapier's Gmail app isn't pulling in replies received  on the thread. I'd like it to be triggered by all emails received, including replies

Hi @EminenceX

For us to have true context, post screenshots with how your Zap steps are outlined and configured, thanks.

Here is the screenshot of the zap and subzap. I tested it, and it worked well for the initial mail received, but it doesn't get triggered for the replies received under each thread.

@EminenceX

Help articles for using Gmail in Zaps: https://zapier.com/apps/gmail/help

Screenshot doesn’t show how the Zap trigger step is configured.

Perhaps try using a different trigger.

Thank you Troy. but, providing search parameters might not work because I don't know anything related to the incoming mail,

 I choose 'New Email' for the event and 'Inbox' as the mailbox for the trigger.

@EminenceX

Perhaps replies are for an email that has since been Labeled and thus moved to a Gmail Folder, so those would not be in the Inbox Folder.

This functionality does not work. The search field for finding an email, which is the only way to actually get a thread ID dynamically does not work and there is no documentation. The only thing you can do is search by subject or from email individually…. they don’t even work together. Additionally, the search operators do not work in conjunction with each other and most don’t work at all.

In short, after exhaustive research i have found no way to issue a threaded reply which negates the entire point of the functionality for me and most users. I believe this is intentional.

Hi @Nicod3mus,

If you're experiencing issues with Zapier's email search functionality, it should support searching by subject, sender, and search operators. To troubleshoot, provide details on your email service, search parameters, and any non-working search operators. Zapier aims to ensure smooth automation, and your feedback helps improve the experience.

I appreciate your patience and look forward to hearing from you soon.

Hey everyone,

Just wanted to chime in and say I'm running into the exact same problem!

Here's what I've tried setting as a trigger, but none of them seem to work when someone replies to the initial email:

  • New Email
  • New Label
  • New Labeled Email
  • New Starred Email

The frustrating part is that for the label-based triggers, the original email gets labeled correctly, but any subsequent replies in the conversation don't.

This means the automation I'm trying to build stops working after the first email, making it impossible to track the ongoing conversation.

This is the original email, which reflects the intended label for all replies in the thread:

 This is the reply to that email, with no specific label:

Has anyone else experienced this, or found a way to get an automation to trigger on email replies, especially for labeled emails? Any insights would be greatly appreciated!

Hi @Elizabethgf23,

Automating email replies with Zapier can be tricky, especially when ensuring replies within a conversation thread are correctly labeled and trigger your Zap. The issue often stems from only the initial email being labeled, not the subsequent replies. Consider using features like Gmail's "Thread ID" or setting up filters that apply labels to entire conversation threads to address this. You can also try using Zapier's Email Parser or experiment with different triggers like "New Email Matching Search." If replies are delayed in being labeled, adding a delay step might help. For persistent issues, contacting Zapier Support is recommended.

We hope this suggestion will help you achieve the automation you're looking for. Please let me know if you have any questions or need further assistance.

I’m having the same problem with the New Email trigger,

@JammerS that’s not about automating replays with Zapier, the new reply on existing email thread DO NOT trigger New Email event. Seems that this trigger just skip all the emails with known ThreadID.

Hi @Vadzim B.,

The "New Email" trigger in Zapier typically activates only for the first message in an email thread. It may not detect subsequent replies due to how threads are structured and how Zapier avoids repeated triggers on the same ThreadID. To work around this, consider using alternative triggers such as "New Labeled Email" or "New Starred Email," paired with filters in your email client that tag replies accordingly. You could also use an email parser to detect and act on replies based on their content. If this behavior is critical to your workflow, submitting a feature request to Zapier Support or contacting them for more personalized solutions is recommended.
