Having an ongoing issue with one of my Zaps that I just can’t figure out. The Zap follows the following Flow

  • Precise Petcare (1.0.1) - Visit Updated: This pulls in data from my companies software system anytime a service is updated in any way. 
  • Filter by Zapier: Filters for Manager Notes containing the letters FBS, and does not match the status of “In Progress” or “Completed”. 
    • Screenshot below showing that the record that posted at 5:52pm did pass, and would have proceeded through the Zap
  • Formatter by Zapier: Formatting Date
  • Formatter by Zapier: Formatting Client’s Full Name
  • Outbound POST Webhook into our GoHighLevel CRM

Our Zapier account is set up to parse every 2 minutes. The record in Precise Petcare that I updated around 5:50pm, posted 2 minutes later into Zapier when I test the trigger and everything works flawlessly. Passes the filter, formater, POSTs through Webhook into our CRM. I can get this to work literally every single time I manually TEST the zap in draft mode. 

However, the numerous times I’ve tested the PUBLISHED version of this ZAP. it has not correctly pulled through a single record that matches my filters. It’s not that they’re being filtered or there is an error, it’s literally like like they don’t exist. 

I’ve tried testing the published version a few times now over the last hour, and the Zap Run(within the Zap itself) and Zap History(in my account) do not show any data posting to this Zap since 4:10pm. 

I have a few screenshots attached as well. Any help resolving this would be much appreciated.

The screenshots you added are not uploaded, kindly upload them for us to have a better look, also for troubleshooting try deleting your trigger step and re-add it and then publish the zap, for invite only apps there are sometime issues and they are resolved once you reconnect the app / re-add the trigger.

Can you help me understand why a record could be populated without fail when running a test, but in a live version of the same Zap, records aren’t being pulled in when they should? Is there a setting somewhere to limit the number of records the system can process within a given time frame? The Service Updated trigger with the Precie Petcare integration should be triggering a ton of records per day. For example, the Zap shows the last record it processed that that was a canceled service was on 5/30 @ 12:03pm. In the activity log in our Precise Petcare system, it shows there were 78 canceled visits yesterday and not one shows up in the zap runs.

There isn’t much info availabe for PrecisePet Care online as it is an Invite Only app so it is difficult to find out why it is skips when in live mode but fetch data in test mode, if there are webhooks available for this event may be you can set up the zap using that.

Regarding adding delay between zap runs, you can do that using the Delay by zapier and using Delay after Queue.
