Seeking examples of Microsoft Outlook reply to email with a shared mailbox


Hi everyone,

I am setting up a zap to draft replies to new emails that come into a shared mailbox in Microsoft 365. In the trigger, I can specify the shared mailbox and the account accessing it has every permission possible (read/manage, send as, send on behalf). No issues getting the mail and passing to the next step.  But when it comes to the Create Draft Reply, it errors out, not being able to match the ID. I have confirmed the id in the trigger is the id used in the CDR step. I cannot specify the shared account in the CDR. I was wondering if anyone had a working example of these conditions: Microsoft Outlook: Shared mailbox, Create Draft Reply.

Microsoft Exchange and Microsoft 365 do not have the Create Draft Reply so Microsoft Outlook is the only option at this time.

I appreciate any suggestions.

Zapier's Microsoft Outlook integration currently does not support the "Create Draft Reply" action for shared mailboxes due to limitations in the Outlook API. As a workaround, you can use the "Send Email" action to send emails directly from the shared mailbox (if permissions allow) or use the "Create Draft" action to manually create a new draft, adding the sender's email and the original message. If this functionality is essential, consider contacting Zapier Support to request the feature.

Thanks ​@JammerS, Zapier support confirmed the same this morning. I will look at the Create Draft as a work around. The negative I anticipate is this will break the continuity of conversation thread/email tracking. It may not be a big deal.

Just tested with the Create Draft and as expected, it is creating the drafts in the default mailbox, on the shared mailbox.  This is going to be the issue with all Outlook actions that can’t specify the use of a shared mailbox.  The New Email allows specifying shared mailboxes but none of the rest seem to.

that should read “...in the default mailbox, not the shared mailbox.”
