Mapping leads correctly in Close CRM to avoid duplicates

Hi here!

I have created a master workflow wherein the information is coming from a webhook that is connected to leadconnector (GHL). The zap steps are

webhook ➡ determine lead type if it’s coming from facebook ads, an email enquiry, signed up during event/conference/, signed up for a booking in a calendar ➡ determine the lead owner by searching on the database/google sheet where Close (crm) user IDs are saved ➡ path conditions for each lead type and this concern would fall under a lead who signed up during event or conference ➡ next step is to get database data (contact information, enquired product, who will be the owner of this lead in Close and what company will it fall in Close crm as well) ➡ ai analyzer comes in to pinpoint which is which ➡ next step is to determine which company are the inquiring for: Company A or B: this lead inquired for Company A ➡ leadconnector step to add or update opportunity ➡ Close crm step to find the lead in Close ➡ if they do not exist yet, the steps are to create a lead ➡ if it’s already existing, next steps are update the lead and create notes

My question is: I have mapped every single one of here to sync to our new company collaboration (Company A) however when the lead is being created in Close, it falls under incorrect company, and it creates a duplicate lead. I might be missing something but I have submitted three tests already and nothing is working.

  • how your Zap steps are outlined
  • how your Zap steps are configured in the CONFIGURE tab while in EDIT mode with the field mappings visible

I think the first place to look is the Find Lead in Close step.

If that step isn’t matching the existing lead properly, Zapier will treat it like a new one, create a duplicate, and that can also cause the lead to land under the wrong company.

I’d check these things first:

  • make sure the search is using a unique field, usually email

  • if email is not always available, use phone number as a backup

  • confirm the company field mapping is coming from the correct path

  • make sure the zap is updating the lead it found, not creating a new one again

  • test with a fresh lead, so old sample data doesn’t affect the result

My guess is the duplicate is happening because the search step isn’t finding the right lead, and then the later step is creating a new one with the wrong company mapping.
