Hi everyone, I could use some help with a Zap I’m trying to set up between Kajabi and ActiveCampaign.

Here’s what I’m trying to do:
When a tag is added to a contact in Kajabi, I want that contact to be updated or added in ActiveCampaign with a specific tag.

The setup I have:

  • I created a form in Kajabi with a dropdown custom field (4 options).

  • Based on the option selected, a corresponding tag is automatically added to the contact using Kajabi's automation.

  • Then in Zapier, I set up a trigger: “Tag Added” in Kajabi → action: update/add contact in ActiveCampaign with a tag. (Basically, I made four separate Zaps, each tied to a specific tag based on the selected dropdown option.)

The problem:

Zapier doesn’t seem to detect the tag that’s automatically added when someone submits the form. I’ve submitted multiple test entries using valid email addresses, and while Kajabi does show that the tag is being applied, nothing is happening in ActiveCampaign through the Zap I set up.
Also, when I try to test the trigger in Zapier, it only pulls in the same single contact across all four Zaps, who didn’t even submit the form or have the tag. So now I’m wondering if that’s causing issues too—maybe because the test data doesn’t contain the tag I'm using as the trigger?

I know I could use the “New Form Submission” trigger instead, but that would require me to add a filter—and filters only work on a paid plan, which I’m not currently on.

Has anyone else experienced this or found a workaround? Would appreciate any advice or insight. Thank you so much!

NOTE: Some Zap app triggers only return representative record data (dummy data) for you to use to configure the Zap action steps.

I’ve reviewed the Zap History, and it shows as "success." However, I noticed that the only record sent to ActiveCampaign from Kajabi was the Test Record itself. The other email addresses I used to submit the form weren't added to ActiveCampaign.

For your reference, I’ve attached the screenshots of my Zap outline and configuration as requested.

 

Additionally, just to keep you informed: I created a few more test Zaps with the same function and outline (which I have already deleted) but they showed as “Held - Task Limit Reached” status. Right now, I’m trying to publish the Zap from the screenshot I attached below. I had turned it off yesterday, but now an error message appears that I’ve run out of tasks. Please let me know if there are any workarounds to resolve this issue, so I can publish my Zap once we identify the root cause of why it’s not creating or updating contacts in ActiveCampaign when a contact submits a form in Kajabi.

You have static values set for these fields:

  • Email Address
  • First Name
  • Last Name
  • Full Name

 

Instead you need to use the +] in the field to map a dynamic variable from a previous Zap step.

I followed your steps, but I couldn’t publish the Zap just yet since I’ve already hit the task limit.

I did a test run and saw that the record from Kajabi was successfully added to ActiveCampaign. However, I noticed that the "Black Friday 2019" tag was added to the contact instead of the specific tag I set as the trigger ("Registered_Learnerresponsiveinfluence_8weekPD").

The thing is, contacts in Kajabi can have multiple tags. What we want to happen is for only the specific tag used in the trigger to be added to ActiveCampaign — not all of the contact's tags or any other tags. Is that possible? Are there any workaround for that?

Also, just to confirm, since we're on the free plan with a limit of 100 tasks per month, does that mean if 100 people meet the trigger condition (specific tag added), all 100 tasks are used up?

It's excellent you've set up a Zap between Kajabi and ActiveCampaign. If your Zap isn't triggering based on the correct tag, double-check your setup to ensure the tag is specified correctly. Regarding tasks, you're right, each Zap run counts as one task. So, if 100 people trigger the Zap in a month, that uses 100 tasks. If you expect higher volume, consider upgrading to a paid plan for more task capacity.
