I have tried making a dynamic zap that finds the correct webinar to add members to using naming conventions in Facebook Ads. 

As the Find Webinar tool needs Start time and Title i’ve named the ads (*Start time | *Title*) example (TUE, APR 22, 2025 1:00 PM | Exclusive Webinar: Maximize the uptime of your CNC Machine tending. (UK))

This doesn’t find any webinars. I’ve attached pictures of the event and setup.

I'm sorry you're having trouble with your dynamic Zap. Let's try to troubleshoot this issue.

 

First, check that your date and time format matches "ddd, MMM DD, YYYY h:mm A" and that your Facebook Ad and GoToWebinar titles are identical. If everything is correct, a data sync delay might be the issue—wait a few minutes and test again. If the problem persists, share details or screenshots of your Zap setup, especially the 'Find Webinar' step and any error messages, for further troubleshooting.

Thank you for the quick answer.

I have updated the format to your recommended "ddd, MMM DD, YYYY h:mm A", but with no change in result. 

The Webinar in question is this one: 
 

Which should be found by the query I’ve used. Just to make sure I found the webinar manually in the ‘Create Registrant’ with no problem.

Sorry to hear Jammer’s suggestion didn’t work as hoped. I had a look at the API documentation for GoTo Webinar and it looks like it requires a different date-time format for the Start Time field:

Can you try adjusting the format to YYYY-MM-DDTHH🇲🇲ss instead (i.e. 2025-04-22T11:00:00Z) and let us know if that then allows the Find Webinar action to locate the webinar?

I’ve actually tried that approach once before to no avail. I have tested again just to be sure and got the following error:

Thanks for getting back to me, ​@OnRobot. I’ve done some further digging on this end and found a report of a similar issue happening where the timezone was being included.  

Can you try removing the Z from the Start Time field? So it would appear as just 2025-04-22T11:00:00 with no Z.

Keep me posted on how it goes! 


 

Thank you so much for your help, I’ve managed to shake a couple of things loose with your advice ​@SamB.

It still didn’t work with with the upcoming webinars. But switching to past webinars I managed to dig up the details for the webinar and send the info to GoTo Webinar successfully.

 

The issue is of course that I don’t need to send new registrants to a past webinar, but to upcoming ones. Can you help me out here?

Really strange that’s it’s only able to find past webinars. 🤔 That might be due to a bug so I’d recommend reaching out to our Support team to investigate further. They’ll be able to access the logs for your Zaps to better determine what’s causing it to not find the upcoming webinars as expected. If it is a bug then they’ll open a bug report to flag the issue to our engineers to fixing.

In the meantime, a possible workaround could be to have another Zap that uses the New Upcoming Webinar trigger and adds a record of the upcoming webinar to a Zapier Table (store it’s ID as well as the start time and title). Then, in your current Zap instead of using the Find Webinar action you’d use a Find Record (Zapier Tables) action to search the table for the webinar and get it’s ID. Then in the Webinar field, on the Create Registrant action, you’d choose the Custom value option and select the webinar ID from the Find Record action.
