"Find Person in Pipedrive" Failing Despite Matching Data


Hi everyone,

I'm experiencing an issue with a Zap that connects Workiz to Pipedrive. Specifically, the "Find Person in Pipedrive" step keeps failing with the following error:

Error code 400: ServerError [ERR_FIELD_NOT_FOUND]: Field with code 'XXXXXXXXXX' not found for person.

Here’s the setup:

  1. Trigger: A new lead is created in Workiz.
  2. Step 2: I’m using the "Find Person in Pipedrive" action, with the Phone field as the primary search criterion.
    • The phone number being passed from Workiz is formatted as XXXXXXXXXX (clean, no spaces or formatting).
    • The phone number field in Pipedrive is set up as a standard Phone type field (no custom formatting applied).
  3. I’ve also tested searching by email instead of phone, but I still encounter the same issue noting that the phone number is not recognized, even when I remove the phone number all together.

Troubleshooting I’ve Tried:

  • Double-checked that the phone number exists in Pipedrive exactly as it appears in the Workiz data.
  • Removed extra fields like "Phone Work 0" and ensured only one phone number field exists for the test contact.
  • Manually tested the phone number in Pipedrive to confirm it’s searchable.
  • Deleted and recreated the "Find Person" step in Zapier to rule out any configuration issues.
  • Tried formatting the phone number using the Formatter by Zapier step, but the same error persists.

Observations:

  • Pipedrive seems to store phone numbers with specific formatting (e.g., (XXX) XXX-XXXX), but I’ve confirmed that searching in Pipedrive works with unformatted numbers and when I export the raw data, it shows as unformatted text with no spaces.

Question:

Does anyone have advice on how to troubleshoot this further? Is there a specific way Pipedrive expects phone numbers to be formatted or indexed when using the "Find Person" action? Could this be related to how Zapier interprets the phone field in Pipedrive?

  • how your Zap steps are outlined and configured in EDIT mode with the field mappings visible.
  • the encountered error on the Zap step from testing
