Automating Workflow 2 Based on Outcome “Showed” in Final Step of Workflow 1

Hi! I’m setting up a Zap in Zapier that connects Workflow 1 to Workflow 2 in Wealthbox CRM.

Desired Behavior:

The Zap should trigger only when the final step in Workflow 1 — "Introductory Face To Face Appointment" — is completed with the outcome “Showed”, and then automatically start Workflow 2 for the same contact.

Problems I’m Having:

  • The Zap triggers at workflow creation, not when the final step is completed.

  • It runs using the Contact ID from the test record selected during setup, and not dynamically based on who actually completes the step.

  • After publishing, the Zap doesn't trigger at all, even when someone completes the step with outcome “Showed.”

My Current Setup:

  • Trigger: Workflow Step Completed

  • Filter (AND logic):

    • Step Name = "Introductory Face To Face Appointment"

    • Outcome = "Showed"

  • Action: Start Workflow 2 for the contact using Workflow Linked To Id from the trigger step

Despite remapping fields using live test completions, Zapier seems stuck on the sample record and isn’t responding dynamically when new contacts finish that step with the “Showed” outcome.

I'll attach screenshots showing the setup and data Zapier receives.

 

Any ideas on how to:

  1. Make the Zap trigger only when the final step with “Showed” is completed

  2. Ensure it runs for any contact who completes it—not just the selected test contact?

Hi ​@PeakHC 

For live Zap Runs check the DATA IN/OUT for each step to trace the data flow and troubleshoot.

We would need to see screenshots of that data to have more context.

Screenshots appear to be for a Zap Run that did not match your filter conditions.

This screenshot of the Filter conditions indicates the mapped variable was not returned by Zap step 1 to be used in the filter step.

Since Zap step 2 was filtered, Zap step 3 did not run.
