Aesthetic record integrations with Square using Zapier

Achieving a two-way sync between the two platforms can be difficult if both apps don't offer the necessary triggers and actions in Zapier. How are things progressing on this? Were you able to explore using Webhooks for the app’s APIs directly, as Jammer suggested? 

I did a bit of digging and it looks like the Aesthetic Record EMR app doesn’t currently have a New Appointment trigger or Create Appointment action available. So as Jammer mentioned, a good next step would be to reach out to our Support team here to submit a feature request for those. You can do that here: https://zapier.com/app/get-help—this helps to get it on the developer’s radar!

In the meantime, are you able to get an email notification from Aesthetic Record EMR when a new appointment is added?

If you can, then a potential workaround could be to set up an email forwarding rule in your email account to forward those notifications to an app like Email Parser. Email Parser would then extract information from the email and pass it to a Zap. From there, you could use Square’s Create Appointment action in the Zap to add the appointment in Square. You can learn more about Email Parser here: Trigger Zaps from new parsed emails.

As for syncing appointments made in Square back to Aesthetic Record EMR—unfortunately, it looks like that might not be possible right now. I couldn’t find any public-facing API documentation for Aesthetic Record EMR, so it doesn’t look like the Webhooks app could be used to create an appointment there. It’s likely you’d need to wait until the app’s developers add a Create Appointment type of action.

I am wanting to do something similar with my service appointment based business. I’m trying to figure out a way to sync my Square calendar with another provider’s Square calendar to avoid double booking. I was thinking this could be done by syncing Square with Google Calendar then connecting the other provider’s Google Calendar which is connected to their Square. I’m hoping this would reflect both booking calendars and ultimately avoid double booking by blocking out times booked on said calendars. Is this something that’s achievable with Triggers? If so, would love some assistance as my attempts have not been so straight forward.

Syncing Square with Google Calendar and then connecting both calendars via Zapier is a solid approach. Start by creating a Zap that adds new Square appointments to your Google Calendar using the "New Appointment" trigger and "Create Detailed Event" action. Have the other provider do the same for their Square account. Then, create Zaps to sync new events between both Google Calendars, ensuring each reflects the other's bookings. Use filters to avoid duplicates and only sync relevant events. Test everything thoroughly with sample data, and be aware that syncs may have slight delays due to API limitations.
