I am attempting to use Zapier to integrate square appointments with my aesthetic record software. It seems as though I can not link that the way I wanted to and I’m coming here as a last resort before I give up. I would like to make it so that if an appointment is made in aesthetic record or square,  the two apps will communicate and  transfer to the other so the time is no longer available. I use AR for my EMR but I hate the scheduling associated with that software. I love the easy of square and the salon suites I am moving to uses them so I was hoping I could integrate the two. The only details I am able to get from AR is if a new customer is entered it will move to square - I figured out how to do that. Or a new invoice but that is after someone is seen and paid. Please let me know if anyone has successfully accomplished what I am hoping to do or if I should just give up because it is not possible. Thanks!

Achieving a two-way sync between the two platforms can be difficult if both apps don't offer the necessary triggers and actions in Zapier. You can create separate Zaps for each direction to reduce double bookings, explore custom solutions using APIs or webhooks, and check for any recent updates to app functionality. If limitations persist, consider submitting a feature request to our Zapier support team.

How are things progressing on this? Were you able to explore using Webhooks for the app’s APIs directly, as Jammer suggested? 

I did a bit of digging and it looks like the Aesthetic Record EMR app doesn’t currently have a New Appointment trigger or Create Appointment action available. So as Jammer mentioned, a good next step would be to reach out to our Support team here to submit a feature request for those. You can do that here: https://zapier.com/app/get-help—this helps to get it on the developer’s radar!

In the meantime, are you able to get an email notification from Aesthetic Record EMR when a new appointment is added?

If you can, then a potential workaround could be to set up an email forwarding rule in your email account to forward those notifications to an app like Email Parser. Email Parser would then extract information from the email and pass it to a Zap. From there, you could use Square’s Create Appointment action in the Zap to add the appointment in Square. You can learn more about Email Parser here: Trigger Zaps from new parsed emails.

As for syncing appointments made in Square back to Aesthetic Record EMR—unfortunately, it looks like that might not be possible right now. I couldn’t find any public-facing API documentation for Aesthetic Record EMR, so it doesn’t look like the Webhooks app could be used to create an appointment there. It’s likely you’d need to wait until the app’s developers add a Create Appointment type of action.
