Xero Billing Data (22 instances) - Zoho / Other CRM - Single Source of Truth

Hi - I’m trying to build out a CRM for a Single Source of Truth

Currently I have 22 Instances of Xero (for legal entity purposes - can’t consolidate to one)

How would I be best placed to do this?

Is it possible to have all the Xero instances (22) → Consolidated to one feed → Zoho / Other CRM (eg Hubspot)

Then the CRM can be used to track customer data, pricing uplift, churn, etc. As well as Account Manager activity and notes across eg client - eg previous meeting, next meeting etc.

Grateful for your help here

Thanks!

Hi @Zamhah

Help link for connecting app accounts to Zapier: https://help.zapier.com/hc/en-us/articles/8496258785421-Connect-your-app-accounts-to-Zapier#h_01HJ15Z8Q5WXMFHAWZKFSDD6QY

Connect multiple accounts for the same app

You can use different accounts from the same app in different Zaps. To do this, create a new connection through the App Connections page or in the Zap editor.

Zapier may automatically connect to an existing account because the browser's cookies recognize that you’re already logged into that service on another tab. To avoid that, you can:

  • Log out of the app on another browser tab so the connection window in Zapier will request that you log in again.
  • Use a different browser or an incognito/private window to log in to Zapier and create another connection.

Thanks - how would this work - since its the same app but 22 instances / different logins effectively

@Zamhah

You can create a MANY:1 logic with Zaps.

Each Xero account needs it’s own step, so likely separate Zaps that trigger from each Xero account.

Thanks - how would I get it into 1 single format (from 22) to then feed into Zoho cleanly?

@Zamhah

EXAMPLE (there are different approaches and options)

Create a Zap fro each Xero account...

Zap 1.A

  1. Trigger: Xero
    1. Account: Xero A
  2. Action: Sub-Zap / Webhooks / Zapier Tables

Zap 1.B

  1. Trigger: Xero
    1. Account: Xero B
  2. Action: Sub-Zap / Webhooks / Zapier Tables

Zap: MAIN

  1. Trigger: Sub-Zap / Webhooks / Zapier Tables
  2. Action: Zoho CRM

Gotcha so would it be that:

Zap: MAIN = Zap 1.A + Zap 1.B

@Zamhah
No, Zap 1.A and Zap 1.B would be configured to send data to Zap MAIN.

Zap MAIN is the shared/common Zap steps you want for Zoho CRM.

Better to have 1 Zap with the core logic, rather than N of the same Zap configured between Xero and Zoho.

Because if you need to make a change, then you only need to make the change once in Zap MAIN for the Zoho logic, rather then N times across the “same” Zaps.

Hi - it’s still not quite clear to me - would this be one way vs bi - directional?
