Want to sync WordPress rental bookings to Calendar, Accounting, and Inventory

Hi everyone,

I run a rental events business in Dubai and my website ( “Hafla Rental” ) is built on wordpress. I'm looking to build a multi-step Zap to fully automate our post-booking workflow.

Here is what I want to achieve: When a customer books a rental event package on my WordPress site, I need the booking details to automatically sync across three different places without any manual data entry:

  1. Team Calendar: Create an event with the client's details and event date.

  2. Accounting Software: Generate an invoice or log the payment.

  3. Inventory Management: Track/reserve the rented items so we don't double-book.

Yes, you can fully automate all three tasks with one Multi-Step Zap (requires paid Zapier plan)

Thanks for the detailed breakdown! This looks exactly like what I need to connect everything.

Quick question on Step 4 (Inventory): since we handle multiple items for a single rental package, will the "Lookup Spreadsheet Row" action still work smoothly if a single booking contains multiple different line items, or do I need to use a Looping tool by Zapier before searching the sheet?

Appreciate your help with this!

Good question ​@sophia0222! The Lookup Spreadsheet Row action would only search for a single line item, so Looping by Zapier would be needed. You'd set up a loop to iterate through each rental item and for each one, use the Lookup Spreadsheet Row action to find the matching row, then have the Update Spreadsheet Row action reserve the item.

This should be very doable with a multi-step Zap.

A common approach would be:

1. WordPress booking triggers the Zap.
2. Create the calendar event.
3. Generate the invoice/payment record.
4. Update inventory availability to prevent double bookings.

The main thing I'd think through carefully is inventory tracking, since that's usually where rental workflows become more complex.

How did you get on with using Looping for the multiple line items ​@sophia0222? Would love to know if you got everything up and running here!

Hi Sam,

Thanks for checking in! Yes, I added the Looping by Zapier tool just as suggested, and it worked perfectly. It successfully loops through each item, looks up the correct row, and updates our inventory exactly how we need it to. Everything is completely sorted now! 👍
