Use Zapier lookup table to fill in Jira Custom Field

Hi Community!

I’m new and creating my first Zap.

This Zap takes New Form Responses from a Google Form and creates a Jira Software Cloud ticket.

I would like to use a Zapier lookup table to fill in a Jira Custom Field that is present on that new ticket. 

  • The Jira Custom Field is Sales Rep.
  • The Google Form contains proper names that the person filling in the form selects.
  • The Jira field of course uses userids.

I’ve created a Zapier lookup table with the proper names and associated userids.

What I can’t figure out is how to reference that lookup table in my Zap (or if I need a second, separate Zap for it). I’ve searched this Community and just googled generally, but I’m not finding the answer.  

Help!

Have you had a chance to try Troy’s suggestion of adding a Zapier Tables search action to your Zap? The Find Record action should allow the Zap to search the lookup table you created in Zapier Tables for the relevant record and provide the necessary value for the Jira action to use.

Let us know if you run into any trouble on that—want to make sure you’re all set! 🙂

@SamB ​@Troy Tessalone Thank you for your replies. Unfortunately I’m no further along. When I try to follow all of the suggestions I’ve found, including yours here, I just keep hitting dead ends -- please see example below. 

One thing I’ve wondered -- I’m not sure which level of Zapier account my company has. If, for example, we have a free account, would that make a difference in availability of these solutions? 

 

Suggestion:

adding a Zapier Tables search action to your Zap? The Find Record action

  1. I added an action to my Zap
  2. I clicked on Action to search for “Find Record” 
  3. There are no “Find Record” results when I search for “find” and “record”

I confirmed my company has a paid account. So that’s good to know -- I’m not trying the impossible!

I appreciate that you’re replying ​@Troy Tessalone. But the links aren’t helping me because they’re to overview/search pages. That’s like pointing at the ocean when I’m asking for a glass of water. I’ve tried this route -- I thoroughly searched the documentation and did general google searches as well before making this post -- and I cannot find what I need. It’s really frustrating. I need step by step instructions for what I’m looking to do, which seems like it must be a common thing to do in Zapier. Do step-by-step instructions for this exist?

There are limitless possibilities for the 8k Zap apps, each with 1+ triggers/actions.

Most Zap app step logic and configuration is unique to the user’s requirements.

So there won’t be step by step instructions available beyond the general concepts of configuring Zap steps.

 

If you are trying to use Zapier Tables as your lookup table, this previously provided link shows the available Zapier Tables Zap app triggers/actions.

One of those is this Zap action: Zapier Table - Find Record

  • App: Zapier Tables
  • Action: Find Record
  • Description: Finds a record based on a search value.
