Need help building a private owner-only AI system in Zapier

Hello, I want help building a private owner-only AI system with Telegram main board, website, dashboard, automation, and separate customer layer. Please guide me with the best practical setup.

A simple way to build it is to keep Zapier as the engine in the middle and separate the system into 3 parts:

  1. Owner layer
    Telegram bot just for you, where you can approve, review, and trigger things manually.

  2. Customer layer
    Forms, website, chat, or inbox where customer data comes in.

  3. Automation layer
    Zapier handles the logic: send data to your AI step, update the CRM/database, send alerts, and push the result to the right place.

So the practical setup would be:

Customer input → Zapier → AI step → storage/CRM → owner notification in Telegram

Then only send the final result or approval request to your private Telegram bot.

If you want it private and clean, I’d also keep:

  • one database for customer data

  • one separate admin/owner workflow

  • permissions separated so customers never touch the owner side

So yes, it’s doable, but the key is to separate owner actions from customer actions, and let Zapier sit in the middle connecting both.

A practical way to build it is to keep Zapier in the middle and split the system into 2 clear sides:

  • owner side: private Telegram bot/dashboard just for you

  • customer side: website, forms, chat, or whatever customers use

Then let Zapier handle the logic between them.

So the simple structure is:

customer input → Zapier → AI step → database/CRM → private owner alert in Telegram

The main thing is to keep the owner workflows separate
