How to sync statuses between Folk and Trello using Zapier


Hey everyone, I need help syncing Folk and Trello with Zapier.

In Folk, I have contacts with statuses like To-Do, Contacted, and Confirmed, displayed in a list view.

What I want to achieve:

  1. When a contact in Folk reaches a certain status (e.g., "To-Do"), a new Trello card should be created in the corresponding Trello list.
    • Status (folk) = List (Trello)
  2. If a contact's status changes in Folk, their corresponding Trello card should automatically move to the matching list.
  3. The same sync should work in reverse: when a Trello card is moved to a different list, the contact’s status in Folk should update accordingly.

Where I’m stuck in Zapier:

  • The trigger part in Zapier is clear: I use "Person Custom Field Updated" in Folk, selecting "Status" and the value (e.g., "To-Do").
  • However, on the action side, when I choose "Move Card to List", Zapier asks me to select a specific card, but I need it to move the card associated with the contact who triggered the Zap.

How can I solve this?

Welcome to the Community.

 

To set up a workflow between Folk and Trello, create a multi-step Zap. Start with a trigger in Folk when a "Person Custom Field Updated" for "Status" is set to "To-Do." Use Trello's "Find a Card" action to locate the corresponding card and move it to the "To-Do" list, or create a new card if it doesn't exist. For reverse sync, create another Zap with Trello's "Card Moved to List" as the trigger, find the contact in Folk, and update their status. If no contact is found, consider setting up a notification. Test each step thoroughly.

Thanks for the input.

If I use “Find a card” I have to select the individual card from what I understand. I would want this to be a general automation that finds the corresponding card though. Or do I have to manually match each card in the first step?

The "Find a Card" action in Trello allows Zapier to dynamically search for a card based on specified criteria rather than manually selecting a specific card. To set it up, choose "Find a Card" as your action, select the board, and enter search criteria using dynamic data from your trigger. If a matching card is found, it will be used in the Zap; otherwise, you can enable the option to create a new card if none exists.
