Question

How can I automate a weekly local transport update from Google Sheets in Zapier?

Our small community group keeps a Google Sheet of local transport notes for Al Satwa in Dubai, and we want a weekly message sent to our group when a row changes. The sheet has columns for route, stop, and a short note. I am basing the stop details on a guide to satwa bus station. I want the Zap to trigger only when the note column is edited, not on every row change, and to send a short summary rather than the whole sheet. Would a Schedule trigger plus a Google Sheets lookup be cleaner than a new-or-updated-row trigger, and how can I use Formatter to keep the message tidy? Any examples of a similar weekly digest Zap would be very helpful.

Hey @johndonovan !

I created a weekly digest that works similarly to this. It stores all the data throughout the week and sends a summary every Sunday.

I set it up using two Zaps:

Zap 1 : This Zap triggers throughout the week and records any changes made to the notes columns. I used Google Docs to store the data, creating a new document for each week with a title that reflects the relevant week.

Zap 2: This Zap runs once a week retrieves all the changes recorded throughout the week, passes them through an AI step to generate a summary and then sends the final digest as a message.

If you need any help setting it up let me know!

Do you want a record of edits, or a weekly list of net changes? A scheduled lookup alone reads the sheet’s current values. To tell which notes changed, it needs saved previous values or a change marker.

If a note goes from A → B → A during the week, comparing weekly snapshots won’t show a difference. Collecting edits throughout the week could preserve those captured changes.

For the message itself, an entry like “Route 12 | Main stop: diversion until Friday” may be enough. You don’t need AI just to assemble those fields.

Should a note edited three times appear three times, or once with its final text? That determines which approach fits.
