I have 10-15 projects in Asana, all are named using the same naming convetion which is ####-last name-street number-street name. I’m trying to find a way to send AI meeting summaries from Zoom to the correct project in Asana, and create a time entry in Hrvest (the project name is identical to the name in Asana). But, the Summary Title in Zoom most often has the client last name, but doesn’t exactly match the project name. For example, the Summary Title might be “Alanis construction doc review” and the project name everywhere else is 2405-Alanis-1955 Jean. Is there an action in Zapier that can compare and find the word in the Zoom Summary TItle that matches a word in the project names? Almost always, the zoom Summary Title will have the client’s last name and it will only match one project name.
Hi
Welcome to the Community!
Before we dig deeper into this, would you mind sharing a detailed screenshot of how your Zap is configured? Also, please share a screenshot of your action steps in your Zap that shows all of its fields.
Please don't include personal information in the screenshot, or be sure blur out any personal information.
Thanks!
Hey
If so, we’d love to hear what the solution was—I’m sure there’s plenty of other folks here that may be wanting to build something similar.
And if not, could the meeting names be altered to all include a special character like a dash (-) or a colon (:) to help a Zap identify the project name? For example Project Name - Meeting description. If that’s possible, then you could use a Formatter (Text > split Text) action to extract the project name from the title. Then you could use a Find Project (Asana) action to find the corresponding project. One way to ensure the Zoom meeting name is standardized could be to have a Zap generate the meetings—could that sort of approach work, or would the meetings need to be created manually?
Alternatively, perhaps you could use a Zapier Agent in the Zap to determine the which project in Asana the meeting summary should be matched to?
Looking forward to hearing from you!
