Customizing email templates with Zapier and Xero


Is there a way to customize email templates (not the forms like invoice and such) with Zappier? Currently, Xero only allows text editing for the email template used to send out the templated forms (inv, PO,...). I would like to be able to create the email that goes with the form in a better presentation like HTML, Rich Text...

Welcome to the Community.

Zapier doesn't currently support customizing email templates directly in Xero, but there's a workaround. You can use the "Email by Zapier" or "Gmail" action to send custom emails when creating a new invoice. Instead of using Xero's "Send Invoice" action, use "Find Invoice" to retrieve the invoice details, then send a customized email including those details. Remember this won't mark the invoice as "Sent" in Xero.

where can I find detailed information on how to do this?

 

I assume by the mention of customized emails above that I would not be able to bring in data fields from Xero. For example “Online Quote Link”

The workaround we mentioned doesn't automatically pull Xero data into a customized email, but you can manually insert specific invoice details. To set this up in Zapier, trigger the Zap with a 'New Invoice in Xero' event, add a 'Find Invoice' step to retrieve details, and use an email action (like 'Email by Zapier' or 'Gmail') to send a message with those details. While most invoice fields are available for the email, the "Online Quote Link" may not be—so it might need to be added manually or handled with a different workaround if it's dynamic.
