You can schedule WhatsApp messages in Zapier by pairing a Schedule by Zapier trigger with a WhatsApp action. To message yourself (for personal reminders and alerts), use WhatsApp Notifications by Zapier. To message external contacts, use WhatsApp Business. 

Step-by-step guide

Method 1: Schedule a WhatsApp message to yourself (WhatsApp Notifications)

  1. Create a new Zap and add a Schedule trigger. In the Zap editor, select Schedule by Zapier as the trigger app. Choose your frequency, for example, every Monday at 9 AM. Click Continue.
  2. Add a WhatsApp Notifications action. Click the + icon to add an action. Search for and select the WhatsApp Notifications app. Choose Send Message as the action event.
  3. Connect your WhatsApp account. Follow the authentication steps: send a pre-filled message to Zapier via WhatsApp, then enter your phone number and the OTP code Zapier sends you.
  4. Select a message template. Choose a template from the dropdown (such as New Lead, New Message or Payment Confirmation) and complete the required fields. Note: custom message text is not supported.
  5. Test and publish your Zap. Click Test step to confirm a message arrives on your WhatsApp. If everything looks correct, publish your Zap to turn it on.

Method 2: Schedule WhatsApp messages to external contacts (WhatsApp Business)

  1. Prepare your WhatsApp Business setup in Meta. Before connecting to Zapier, make sure you have a verified Meta Business Manager account, a WhatsApp Business Account (WABA) with a registered phone number, and any Meta-approved message templates you plan to use for outbound messaging.
  2. Create a new Zap and add a Schedule trigger. In the Zap editor, select Schedule by Zapier as the trigger app. Choose your frequency, for example, every Monday at 9 AM. Click Continue.
  3. Add the WhatsApp Business action. Search for the WhatsApp Business app and select the Send Template Message action. You'll be prompted to log into your WhatsApp Business Cloud account and grant Zapier access. Click Continue.
  4. Select a message template. Choose your approved template and complete the required fields. The Recipient phone number field needs numbers in international format (e.g. +1234567890). You can use a Formatter action to convert the number into the correct format if needed.
  5. Test and publish your Zap. Test the step to confirm delivery, then publish your Zap.

Notes and limitations

  • Both WhatsApp Notifications and WhatsApp Business are premium apps on Zapier, so a paid Zapier plan is required to use them.
  • WhatsApp Notifications app can only send messages to yourself (the phone number used to authenticate the connection). You cannot use it to message other people's numbers.
  • WhatsApp Business requires:
    • A Meta Business Manager account, a registered WhatsApp Business phone number, and Meta-approved message templates for outbound messages.
    • Display name approval through Meta Business Manager before any messages can be sent. Zapier is unable to resolve any display name issues on your behalf. 
    • Opt-in consent from every recipient.
  • With the WhatsApp Business app Zap runs will always appear as successful, even if they fail to send. To confirm message delivery, review WhatsApp Business conversations in Meta Business Manager.
  • Freeform messages can only be sent within 24 hours of the recipient's last message to you.
