Overview

You can include your Gmail signature in emails sent through Zapier by using the Add signature default field available in the Send Email, Reply to Email, Create Draft and Create Draft Reply actions. Zapier pulls the default signatures you have already set up in Gmail, so there is no need to manually recreate your signature inside the Zap using HTML.

Step-by-step guide

  1. Set up your Gmail signature in Gmail first. Go to Gmail Settings, then See all settings, then the General tab. Scroll to the Signature section and create your signature. Make sure to set it as the default for new emails using the Signature defaults > For new emails use dropdown.
  2. Open your Zap and add or edit a Gmail action step. Choose Send Email, Reply to Email, Create Draft or Create Draft Reply as your action event.
  3. Connect your Gmail account. Select the Gmail account that has the signature configured.
  4. Find the Add signature default field. Scroll through the action fields until you see Add signature default. Click the dropdown to see your available signatures.
  5. Select your signature. Choose the signature you want to use. Zapier will retrieve the default signature HTML set for that email address or alias in your Gmail account settings.
  6. Test your Zap. Run a test to confirm the signature appears correctly in the sent email or draft.

Key notes and limitations

  • If you have multiple Gmail aliases, each alias can have its own default signature. Make sure you are connected to the correct Gmail account and sending from the correct alias.
  • Signature images hosted externally may not display if the recipient's email client blocks remote images.

Frequently asked questions

Q: Why is my Gmail signature not showing in the dropdown?
A: The dropdown only shows signatures that are set as defaults in Gmail settings. Go to Gmail Settings > General > Signature defaults and make sure your signature is assigned to an email address under the For new emails use option. Alternatively, you can use a signature that isn't set as a Gmail default by pasting the HTML directly into the Body field of the Gmail action instead.

Q: Can I add a signature when replying to an email using Zapier?
A: Yes. The Reply to Email and Create Draft Reply actions in Gmail both include the Add signature default field, so you can select your signature the same way you would for the Send Email action.

Q: How do I make a signature in Gmail with custom fonts or colors for use in Zapier?
A: Create your styled signature directly in Gmail using the signature editor, which supports fonts, colors, and images. Once saved as a default, Zapier will retrieve and include the full HTML of that signature.
