Zoom trigger logging registrations from multiple accounts unexpectedly

I have a Zap that is intended to log the contact details of a person that has registered for a Zoom meeting into a DB.

 

The trigger is Zoom 2.28.1 New Meeting Registrant. My organization has three zoom accounts (all three email addresses belonging to the same domain). I’m finding that even though the Zoom trigger account is set to just one of them, it gets registration events from all three accounts.

This seems like a bug. Is Zapier responsible for this integration, or should I report this to Zoom?

This is an interesting issue! A few things to check:

 

1. **Account vs User-level webhooks**: Zoom has both account-level and user-level webhooks. If the Zapier connection was made with an account admin or owner, it might be receiving events for all users under that account. Make sure you're connecting with a standard user account, not an admin/owner role.

 

2. **Check your Zoom Account Settings**: In your Zoom web portal, go to Account Management > Account Settings > Meeting. Look for "Meeting Registration" settings and ensure webhooks aren't configured at the account level to push events for all users.

 

3. **Verify the connection details**: In Zapier, go to My Apps > Zoom and check which specific account email is connected. If it's an admin account with cross-account access, that could explain it.

 

4. **Workaround - Add a Filter**: As a quick fix, add a Filter step immediately after the trigger to only continue if the "Host Email" or "Meeting Host" field matches the specific Zoom account you want to track.

 

This is likely a Zoom-side configuration issue rather than a Zapier bug. The Zoom integration is built by Zapier, but the webhook scope is determined by how the Zoom account is set up.

Make sure you are using the current version of the Zoom Zap app.

Hello  ​@BobbyA 

Zapier connects to Zoom at the account level. If the connected Zoom user is an admin, the trigger can see meetings and registrants from other users on the same Zoom account, even if you selected a specific email during setup.

What you can do
Connect Zoom using a non admin user if you need isolation
Use separate Zoom accounts or separate Zapier connections
Test with a meeting created only by the connected user

If it still behaves unexpectedly after that, reach out to Zapier Support so they can inspect the trigger data
