Hi there,

I'm new to Zapier. Currently, I use Zoho Sprints and would like to integrate it with HubStaff. Specifically, I want user stories to be pushed to HubStaff whenever I create them in Zoho Sprints.

I have set up the trigger and linked it to Zoho Sprints, and I have also created the action and linked it to HubStaff. However, in the Zoho Sprints trigger, the final step—'Test'—always displays the same three old records, even after adding new user stories. Pls refer to attached screenshot. 

Is there a configuration I need to adjust, or how can I resolve this issue? I would appreciate your help!

Some Zap app triggers only return up to 3 representative records to use to configure the Zap action steps.

Thanks for your reply. I've tried several approaches, including re-creating the zip file. However, it keeps displaying three old records, and I'm not sure why. I'm stuck at the moment.!--endfragment>!--startfragment>

Try turning the Zap ON and testing live.

Then check your Zap Runs history details to see the DATA IN/OUT for each step to help you trace the data flow and troubleshoot: https://zapier.com/app/history/

Sorry for the late reply. I have tried several approaches but still encounter the same issue. Only three old records appear in the list, regardless of what I do. For example, I created new items for the upcoming sprint—Item A, Item B, Item C, and Item D. And set up a separate Zap for each, as they’re assigned to different users in HubStaff. However, the item list in Zap consistently shows only the first three: A, B, and C. Item D doesn’t appear at all. Do you have any suggestions? I would really appreciate your help.

No worries, ​@John_i1! Hmm, looks like only three loading might be the expected behavior here:

Are you able to use one of those three test records to set up the rest of the Zap?

If not and there’s other values you’d like to use for testing purposes you can create a modified test record and change the values. For example:

That will allow you to test with specific values that weren’t in the existing test records. Do you think that approach could work or is there a missing field that you were hoping to have available in a different test record?

Actually, I just want to set up a very simple integration: when I add a new item in Zoho Sprints, a corresponding task-to-do should be created in HubStaff. I'm fine with triggering it manually if there's no automated way.

The issue is that the new items I’ve added in Zoho Sprints aren’t appearing in Zap at all.

For example, I created four items in Zoho Sprints:

  • Item 1 – assigned to User A
  • Item 2 – assigned to User B
  • Item 3 – assigned to User C
  • Item 4 – assigned to User D

I have created a separate Zap for each item since they’re assigned to different users. The problem is, Zap consistently shows only Items 1, 2, and 3. Item 4 doesn’t appear in the list, so I can’t select it, assign it to User D, or trigger the integration. I don't make any modifications to the items after creating them. It is simple as that. 

I would truly appreciate your help with this.

To troubleshoot why Item four isn't appearing in your Zap from Zoho Sprints, verify that the trigger setup is correctly configured and doesn't exclude it through filters. Try refreshing the data in Zapier, check if your account has the necessary permissions, and review the item's details for inconsistencies. Testing with a new item can help isolate the issue, and if the problem continues, reaching out to Zapier Support may provide more profound insight.
