Hi,

I have a zap set up as follows:

  • Trigger - new sales invoice in Xero - status awaiting payment
  • Action - upload pdf of invoice to OneDrive

This works fine during the testing phase but it has failed to fire since I published it. The connection to Xero is listed as connected and each time I test it works fine.

As it works in testing, i’m not what I need to do to fix this. Any advice would be gratefully received!

Thanks.

Hi @juliamcginnva,

Welcome to the Zapier community.

If your Zap fails in a live environment despite working in testing, check your Zap history for errors, re-test the trigger, and ensure Zapier receives data from Xero. Try reconnecting Xero in "Connected Accounts" and confirm the sales invoice status is set to "Awaiting Payment." Also, review any filters that may be blocking the trigger. If issues persist, provide more details or error messages for further troubleshooting.

I hope this helps. If you have any more questions or need further clarification, don't hesitate to ask.

Hi @juliamcginnva, just checking in—did Jammer’s suggestions here help to get the Zap triggering?

Want to make sure everything’s working so please do let us know whether you need any help still! 🙂

Hi, so sorry for the delay in responding and thanks for the nudge!

I’ve tried the suggestions but still not working, only when testing the zap. I can confirm that I’ve reconnected Xero and all the invoices are always showing as Awaiting Payment for at least a day but still no zap. There’s nothing in the Zap history for this zap so it’s not even firing, so no filters blocking it.

As it doesn’t fire, there’s no error messages.

Is there anything else I can check? What other info would help identify the cause of this issue?

Many thanks.

Hi @juliamcginnva,

I'm sorry you're still having issues with your Zap. Since your invoices are correctly set to "Awaiting Payment" and you've reconnected Xero, try double-checking the trigger event, ensuring your Zap is turned on, and verifying the data conditions. Re-testing the trigger can also help surface problems. Contact Zapier Support using this link for deeper assistance if it's still not working.

We appreciate your patience and look forward to helping you resolve this issue.

Thanks for your reply. Testing works fine every time and shows no issues.

The trigger event is simply new invoice in “awaiting for payment” status.

The Zap is definitely turned on.

Not sure what data conditions you’re referring to.

I’ll contact support using the link your provided and hopefully someone can help me get this working.

Thanks!

A quick update. While completing the support form and grabbing screenshots, I realised that I could actually leave the invoice status field blank so tested that and it works immediately but downloads a draft invoice. So I do need the status including so will work with support to troubleshoot why that’s falling over.

Hi @juliamcginnva,

Thank you for your update. It's great to hear that you've made some progress on your issue.

Leaving the invoice status field blank will indeed default to a draft invoice. If you need to download invoices with a specific status, you must include that in your Zap setup.
