Hi,

We created a Zap to consolidate new image links from client specific Google Drive folders to our Airtable CRM. This is done with the Google Drive “New file in folder” trigger. Seems to run smoothly, so now I would like to run this for the existing data.

I investigated that the Google Drive trigger app does not support Zapier’s “Transfer data” function to fetch existing data. There are 150 folders with data so manually download and upload folder by folder is not really doable.

I guess I could download all folders in one go as one zip, extract and then re-upload the folders also in one go. That would make one huge data transfer operation so not really preferable.

Additionally, and probably definitely making this a no-go, I guess that would remove existing access rights and share links. Can’t imagine these would survive a roundtrip to a Windows environment and back.

Any suggestions how to accomplish this? Is there, e.g., a simple way to alter this Zap to operate on “current data” in the same source folders?

Thanks in advance!

Rgds,

Björn

Hi @BjörnE,

Welcome to the Community.

Since Zapier's "New file in folder" trigger doesn't support fetching existing data from Google Drive, alternative approaches are needed to consolidate image links into Airtable. Manual batch processing may work, but automating it with a Google Apps script could be more efficient. By leveraging the Google Drive API, a script can iterate through folders, extract file URLs, and output them into a CSV file for easy import into Airtable. Third-party tools may also provide bulk export options. For a more tailored approach, creating a custom integration using Google Drive's and Airtable's APIs allows direct data retrieval and entry. While Zapier's native triggers don't support this, webhooks or code steps could offer a workaround with additional technical setup. Consulting IT or development teams may help explore custom solutions, ensuring a streamlined process despite Zapier's limitations in handling existing files.

If you have any further questions or need additional assistance, feel free to ask.

Thank you @JammerS. I’ll look into Google Scripts and API calling, if these would be accessible enough for my own understanding 🙂. Or hope somebody here could offer some more detailed insights.
