Hi Support Team,
I’m having an issue with a Zap that should create ClickUp tasks whenever I publish a new Substack post.
What the Zap is supposed to do:
- Trigger app: Gmail
- Trigger event: New Labeled Email
- Trigger account: My work Gmail (connected to Zapier)
- Trigger label: My Substack label (the email is automatically labeled when a new Substack post is published and sent to my inbox)
Action:
- Action app: ClickUp
- Action event: Create Task
- The task should:
- Be created in a specific space/folder/list in ClickUp
- Be assigned to my teammate (Gagan)
- Have a title like: “Draft Kajabi teaser email for new Substack post”
- Include either the full email content or at least the Substack post link in the task description
What’s going wrong: Right now, the automation is not behaving as expected. The trigger appears to work (the emails are coming in with the correct label), but:
- Tasks are either not being created at all, or
- Tasks are being created but not in the correct location and/or not assigned to the correct person, and the email content / link is not reliably included in the task description.
I’ve confirmed:
- My Gmail account is connected correctly in Zapier.
- My ClickUp account is connected.
- The label name in the trigger matches the label used in Gmail.
- Test data shows the labeled emails correctly inside the Zap editor.
Could you please:
- Help me confirm that my Zap configuration is correct for this use case, and
- Let me know if there are any known issues or limitations with using “New Labeled Email” (Gmail) to create ClickUp tasks with the email body and/or links?
