Hello
I am using Docsumo as an AI solution to parse data from Shopify invoice PDFs. Then I am using Zapier to create a workflow where the parsed data is used to create invoices with multiple line items in Quickbooks.

I have added two steps: Create Customer and Find Products which are correctly searching for the customer ID and product IDs in quickbooks.

In the Create Invoice step, see the screenshot below for how I filled out the fields. However I am getting an error meesage that says I have an “invalid reference Id” (see screenshot below)

What do I do to correct this? I have also tried using Formatter by Zapier to turn the comma separate list into line items which did not work either

Hi @katherineshen

Things to check/try:

  • The referenced product/service exists but is not marked as “Can be sold” in QuickBooks.

    • QuickBooks won't allow it to be added to a sales transaction like an invoice.

  • The # of line items returned from Step 3 is different from the # of line item values returned from Zap step 1

Hi there, @katherineshen 👋

Did Troy’s suggestions allow you to fix that “invalid reference Id” error? Or did you find a different solution?

Happy to help if you’re still running into any issues, just let us know! 🙂

Hi @SamB i ended up figuring out that the number of line items from each input was not matching due to one of the products not being found in quickbooks (the product names were showing a line break so I used code by zapier to remove line breaks) then it ended up working once the number of lines was the same and everything was then converted to line item format

Hi @katherineshen,

It's excellent that you resolved the issue with mismatched line items in QuickBooks using Code by Zapier to remove line breaks from product names. Formatting inconsistencies like this can often disrupt workflows, so standardizing data is key. For others facing similar problems, consistent data formatting, error handling, regular testing, and seeking help from the Zapier Community or Support can make troubleshooting much easier.

Really appreciate you sharing what worked, @katherineshen! 🙌 It’ll definitely be useful for others running into similar QuickBooks issues. Thank you so much. Hope to see you posting in the community again soon! 🧡
