I am trying to create an “autocreate draft on customer request” automation. 

 

Short summary: 

Incoming mail (to a shared mailbox) → forward to openai Assistant → Write an answer as a draft to be reviewed/modified by an employee. 

 

The automation works find, when using it with the personal mailbox, but drops this error, when used with the shared mailbox. 

 

“Microsoft Outlook Send Email error: The specified object was not found in the store., The process failed to get the correct properties”

 

I already tried to give the accounts all possible permissions on the shared mailbox, nothing works. 

 

Workaround: buy a Exchange PLAN1 License and create a user mailbox out of the shared mailbox. But thats expensive & stupid and not the way it should work. 

 

Any ideas?

The error you’re seeing from the Microsoft Outlook “Send Email” action...

“The specified object was not found in the store. The process failed to get the correct properties.”

 

...usually means that the connected Outlook account doesn’t have the required permissions to send as the shared mailbox specified in the “From Email” field.

 

Even if it’s a shared mailbox with full access, Outlook sometimes still requires explicit “Send As” or “Send on Behalf” permissions granted by an admin via Exchange settings, and the connected account in Zapier needs to match that.

 

Could you please:

  • Double-check that the From Email address in your Zap exactly matches the shared mailbox address;

  • Confirm that the connected Outlook account has the necessary “Send as” rights for that shared mailbox;

  • If you’re using a shared mailbox without a license, note that some APIs and mail operations (like drafts) may require a full user mailbox or specific licenses, depending on your Microsoft 365 setup.
