I’m trying to pass information from RD Station to HubSpot using Zapier.

The problem: when I set up the Zap, Zapier only gives me the option to include one field, but I have multiple fields (like name, email, phone, company, etc.) that I need to transfer.

From what I understand, Zapier only shows the fields that are present in the test data pulled from RD Station. So, if the sample lead only has name and email, those are the only fields that appear when mapping to HubSpot.

What I’ve tried so far:

  • I tested the trigger and Zapier only pulled a lead with partial data.

  • When mapping to HubSpot, I can only see that one field.

What I think I need:

  • To send a complete lead (with all the fields filled in) from RD Station to Zapier, then re-test the trigger so Zapier pulls all the available fields.

  • After that, I should be able to map those fields into HubSpot (including custom fields, as long as they exist in both systems).

My question:
Is this the right way to do it, or is there another method to make all fields from RD Station available in Zapier so I can map them to HubSpot?

Hey @Luiz Echevarrieta,

Can you post the the screenshots of Data In and Data Out for us to have more context?

Hi @Luiz Echevarrieta

For us to have more info about what you are referring to, post screenshots showing:

  • how your Zap steps are outlined
  • DATA OUT from the Zap trigger step
  • how your Zap steps are configured in EDIT mode with the field mappings visible in the CONFIGURE tab

Hey there @Luiz Echevarrieta 👋

Just checking in to see if you had any luck with submitting a complete lead with all fields filled in. Did it pull through all the missing fields into the Zap, or was it still only pulling in a single field?

That sort of approach usually allows you to then access any missing fields. But if it didn’t, the other approach you could try would be to:

  1. Turn on the Zap.
  2. Do a live test by adding a new lead to trigger the Zap.
  3. Then edit the Zap.
  4. Select the live test Zap run for as the test record.

Check out Modify test records in Zaps > Select from previous Zap run for more details on how to do that.

Hope that helps. Let us know how it goes! 🙂
