Setting up a Notion database entry triggered by emails in Outlook

Hi - I work on a Mac and use Apple Mail as a front for Outlook. Im looking to create an entry in a Notion db as a to-do list every time I drag an email from my inbox to a specific folder (the folder in the emails and the db names will be the same). I have managed to get a form of this working with ChatGPT, but often I drag a thread of emails into a specific box and it is then creating several entries in the Notion db. I tried a Zap that cleaned the data first and then would store and filter before sending to Notion but it doesnt seem to be working effectively and I still get several entires, albeit the ‘FW or RE’ is now removed from each subject line. Any help or guidance you could give would be of great help. Thanks

Hi @DLB1000,

Welcome to the Community.

To streamline email thread handling in Notion, focus on identifying unique threads using email headers like Message-ID or Thread-ID. Use Zapier’s deduplication by searching for existing entries before creating new ones, and apply filters to trigger Notion entries only for the first email in a thread. Consider batch processing with scheduled Zaps for bulk handling and use a Code by Zapier step for advanced filtering. Ensure email parsing is correctly set up to capture essential identifiers, helping maintain a clean and organized database.

Feel free to ask if you need further assistance or have specific questions about setting up these steps.
