Question

Row added in Google sheets isn't going into Xero despite test working fine

im adding a row to Google sheets but it isnt going into Xero despite text working fine and sending the row into Xero.

I know it must be a trigger issue but I add a new line at the bottom of my spreadsheet and it doesn't get pushed through into Xero.

Any help appreciated as I have paid for service and it isn't working so want to get it fixed before my trial ends.

Very happy with the test if that only worked when I added a row.

Hello @nwressell

This is usually a Google Sheets trigger setup issue

Make sure you’re using New Spreadsheet Row and that you’re adding a brand new row at the bottom with no blank columns. Also check there are no empty rows anywhere in the sheet and that you’re editing the same worksheet tab the Zap is connected to.

Remember Google Sheets triggers are polling, so allow a few minutes after adding the row.

I have some blank rows in the spreadsheet to break up areas.

Some of the columns are blank as I add for example an amount when a customer has paid for my records on the spreadsheet

I'm adding a new row at the bottom and adding the information and it isn't getting sent to Xero still.

Does this help? Am I doing something wrong.?

Hi @nwressell

Help links for using GSheets in Zaps: https://zapier.com/apps/google-sheets/integrations#help

Make sure your GSheet is formatted as needed to be used in Zaps:

  • no gap rows/columns
  • no grouped rows/columns
  • no existing formulas in cells

For us to have more info, post these screenshots:

  • how your Zap steps are outlined
  • how your Zap steps are configured in the CONFIGURE tab while in EDIT mode with the field mappings visible
  • how your GSheet worksheet is configured (top 3 rows at least)

Yes,  @nwressell  that helps a lot

The blank rows are the main issue. New Spreadsheet Row will stop triggering at the first empty row it finds, so any rows added below that will not be picked up at all.

You’ll need to remove the blank separator rows or move them below all active data. For the columns, it’s usually fine if some are blank, as long as the columns required by the trigger and the Xero action are filled.

Once the blank rows are removed, turn the Zap on and add a brand new row at the bottom. That should allow it to push through to Xero.

I have removed the blank rows and added a new row at the bottom and it is still not sending this to Xero, it works when I run the test however!  Any help appreciated.

This does sound like a Google Sheets trigger setup issue, especially since the test worked.

In Zapier, make sure the trigger is New Spreadsheet Row and that you’re adding a brand-new row at the very bottom of the sheet (not editing an existing row). Also double-check there are no blank rows in between and that the Zap is connected to the exact worksheet tab you’re adding the data to.

Since Google Sheets triggers in Zapier are polling-based, give it a few minutes after adding the row to fire.

If that all looks correct and it still doesn’t push to Xero, I’d re-test the trigger to confirm Zapier is actually seeing the new row.

Since the test works, the Xero step is fine, it’s the trigger not firing live.

One thing I’ve seen help is checking Zap History first to confirm whether the Google Sheets trigger is even picking up the new row. If nothing shows there, Zapier never sees it.

Also make sure the new row has values under all headers. I’ve had cases where rows with missing cells were ignored, especially when the data was meant to feed into things like video or media-related workflows later on.

If it still doesn’t fire, I’d toggle the Zap off and on, then add a completely fresh row and give it a few minutes. If it doesn’t appear in Zap History after that, it’s definitely a trigger detection issue, not Xero.

Thank you everyone I have updated everything and it seems to be working and that is all thanks to your information on here.

What is the best way to keep it working if I delete a row in the Google sheets? Should I then go back into Zapier and pull the data again?

Glad to hear you got it working @nwressell! 🎉 Big thank you to @drtanvisachar, @Troy Tessalone and @AD WRITEES for helping out with this 🤗

If you’re going to be deleting rows in Google Sheets, you’ll want to make sure you do the following:

  • First, turn the Zap off
  • Head over to Google Sheets and delete the necessary row(s)
  • Then turn the Zap back on

That should help to keep the Zap running after a row is deleted.
