Quickbooks Online Update Sales Receipt errors

I have a very complicated multi branch Zap for real estate commission payments that ultimately will either create or update a sale receipt in Quickbooks online depending whether the sales receipt exists or not.

In short I have a “Find Sales Receipt” action with a branch. 
If found, it goes to the branch that updates it.
In not found, it goes to the branch that creates it.

Note: there is an option to create the sales receipt if not found but I am not using that option (i have my reasons for that).

 

This Zap has worked, for the most part, without error for several months. Suddenly it stopped working and the Quickbooks step “Update Sales Receipt” is where I’m getting the error. I have gone through AI troubleshooting, email support, everyone ‘solution’ has resulted in no fix. Error every time. 

Error specifically says “Object Not Found: Object Not Found : Something you're trying to use has been made inactive. Check the fields with accounts, customers, items, vendors or employees.”

 

This is simply not true. I have not changed anything in the zap, anything in Quickbooks, it just quit working, I upgraded my account to Professional 2000K+ subscription so I could get live chat support and guess what. CHAT IS CURRENTLY UNAVAILABLE. Just after I paid $300 to upgrade from 750K to 2000K specifically for the ability to access live chat WITH A HUMAN.

Needless to say I’m extremely frustrated with the zap and horrible irritated with the level of service I’m getting. All support has given lousy attempts at fixing this. Nobody has said “I tested with this data and the step works” Everyone just taking stabs in the dark.

Update: 

After several tries at fixing this I decided to do a clean test. I created a brand new zap with two steps only.
Step one (trigger) from Form data with the minimum required information to update sales receipt.
Step two, Update Sales Receipt

Result: the same error as before.

QuickBooks Online (QBO) error "Object Not Found" typically occurs when a transaction or sync operation references an account, customer, item, vendor, or employee that has been deleted or made inactive in QBO.

The system cannot locate the specific record it needs to complete the action.

 

Things to check/try:

 

For us to have more info, post screenshots showing:

  • the encountered error in the Zap steps
  • how your Zap steps are outlined
  • how your Zap steps are configured in the CONFIGURE tab while in EDIT mode with the field mappings visible

FIXED IT!

I had to do this myself despite paying $300 to upgrade my account for live chat support which has been unavailable since my upgrade.

Email support just stabbing in the dark gave me nothing but things I had already tried with the AI chat bot. 

The Fix:
Sales Receipt NUMBER and Sales Receipt ID are not the same. I was using a “Find Sales Receipt” step to discover if the sales receipt had been created already (the number comes from Transaction ID from my step 1 trigger). If NOT found I go down a branch to create the Sales Receipt (working just fine), If NOT FOUND, I go down the branch to “Update Sales Receipt” 

This is where I was inputting the data from step 1 (sales receipt number) and failing - although it took a lot of testing to discover what was failing. I changed the Update Sales Receipt step to use the OUTPUT from my find sales receipt (ID) and then I got past that error. Next error was with the customer name and since the name was staying the same, I just selected it from the list (probably could have selected the name from the output in find sales receipt step also but I didn’t need to. 

Anyway, maybe my troubles will help someone else get their faster in the future.
