It seems the Quickbooks Online New Estimate and New Invoice Instant Trigger is experiencing issues again. It will sometime be multiple hours before a Zap is triggered by a new estimate or invoice being created in QBO. The issue seems to occur during the morning PST hours and resolve into the midafternoon time on most days (but not everyday) which makes me think it is QBO volume related? Not sure, but it’s super frustrating and is really impacting our workflows.

This has been ongoing for several weeks for me and I am met with no real answers from Zapier Support other than I have been added to the list of users experiencing issues and that they are prioritizing “by overall impact”.

There is another thread from April where there was a major outage with the trigger and it took a week to resolve, but there were still users commenting at the end of that thread stating they still had multiple hour delays. Has this issue resurfaced for anyone else? Anyone know of a workaround? Unfortunately, I don’t have access to the legacy zaps mentioned in the other post and sending an email does not work for my workflow.

Hi @ZapRyan,

Welcome to the Community.

Sorry to hear you're having trouble with the QuickBooks Online (QBO) New Estimate and New Invoice instant triggers in Zapier. While the issue is being investigated, consider using the scheduled polling trigger as a workaround to avoid missing entries. You might also explore custom webhooks or third-party tools for more reliable integration. Stay updated via the Zapier Status Page and connect with the Zapier Community for shared solutions. If the issue persists, contact Zapier support and QuickBooks support with detailed logs to help escalate and resolve the problem.

Feel free to ask if you need further help or have additional questions. We're here to assist you.

@JammerS how would I go about setting up a polling trigger for new estimates/new invoices? I only see the instant trigger as an option in my account.

Also, can you elaborate on the custom webhooks or third-party tools option?

Hi @ZapRyan,

It looks like you’ve already been added to the bug report for the issue with QuickBooks Online experiencing extended delays. However, Webhooks by Zapier is considered an advanced feature, so our support for it may be more limited. Not because we don't want to help, but because APIs can be so different and each request can be so unique. This makes it hard for us to know why the request may be receiving errors or not working as expected.
