Issues with Zap connecting Qualtrics survey to new Trello cards

I have been trying to build a Zap with an existing Qualtrics survey and Trello Board. When the Qualtrics survey receives a new responses, the Zap is supposed to create a new Trello card with the survey response populated in the Trello card description. Both apps accounts should be correctly linked with the required permissions/authentication for Zapier to use the apps.

Each time I try to test the Zap, a Trello card is generated with the correct survey questions listed, but it does not show any response data from the Qualtrics survey. I've also tried to publish the Zap and then manually test it by submitting a new Qualtrics survey response, but same thing; a Trello card is created and no response data is included. I have done every step the Copilot AI has prompted, and have tried to get it to direct me for solving the problem, but to no avail. I am also willing to consider upgrading to a paid subscription if that will help, but I am hesitant to do so at this time since I have not been successful in building even a simple Zap workflow… 

Any advice is appreciated!

I think it can happen due to a lot of different reasons. If the data is in the trigger they can dynamically map them to Trello action. Check the Data Out of the trigger. Try to find a new test record in the trigger as it may be returning empty data. For live zaps, see the zap history page to spot any issues there- https://zapier.com/app/history.

You can try: 

  1. Test your Qualtrics trigger and check the "Data Out" section. Confirm you see actual answers (e.g., "Blue", "Yes"), not just question IDs. If answers are missing, submit a real survey response and re-test.

  2. In your Trello action's Description field, don't type anything. Instead, click inside the field and select the answer variables from the Qualtrics dropdown (they look like {{Question 1 - Answer}}). These blue pills are the actual response data.

  3. Click "Test step" – your Trello card should now contain real survey answers.

This sounds like a mapping problem, not a paid-plan problem.

If Trello is showing the question names but not the actual answers, it usually means the Trello description is mapped to the wrong Qualtrics fields.

Simple fix:

  1. Go back to the Qualtrics trigger
  2. Submit a brand new survey response
  3. Click Find new records
  4. Pick that fresh response as the test record
  5. Then re-map the answer fields into the Trello description, not just the question labels

Zapier says test records can sometimes be old or generic, and you can load newer ones with Find new records.

Also, if the fields still look wrong, try:

  • reconnecting the Qualtrics account
  • rebuilding the Trello description field after loading the new test record
  • using Modify test record if needed so you can confirm the right fields before turning the Zap on.

So the short answer is:

Your Zap is likely creating the Trello card correctly, but you mapped the survey labels instead of the response values.
Pull in a fresh Qualtrics response, then map those answer fields again.
