Issue with updating invoice line items from Xero to AirTable.


I’ve set up a Zap to copy the event ‘New Sales Invoice’ in Xero to AirTable with the output being ‘Create Records (Advanced)’ so that each line item of the invoice is a separate record.

I’ve then set up another Zap for the event ‘Updated Sales Invoice’ to update the AirTable records with changes made in Xero. I can’t use ‘Create Records (Advanced)’ again because there isn’t an option to tell it which line item needs updating, so I’ve used ‘Create or Update Record’. I’ve told it to link via the Line Item ID (which is unique), but instead of updating the particular Line Item, it’s creating a new record with all the line items in one record for the invoice.

I’m going around in circles but can’t seem to figure out a way of getting it to update an invoice that has been created in AirTable with a record for each line item. Any ideas? Thanks.

There are two zaps. One to create the invoice with each line item as a separate record and the second to update it. Screenshots of both attached.

 

And while I’m here, any suggestions for how to circumnavigate the maximum 10 records for the Advanced create records that caps the number of line items?

@JammerS do you have what you need to be able to answer this? If it’s not possibly, I need to look elsewhere so I need to know if it’s possible before the trial runs out. Thanks.

I understand that you have two Zaps set up to send updated invoices to Airtable records with changes made in Xero, and you're noticing that the records are being created instead of updated.
 
Could you please share an example of a Zap run where the record was created instead of updated? It would also be helpful to reference the original Zap that receives the new invoices, if possible. This way, we can fully understand the situation and provide further assistance. Thanks so much for your assistance with this!

If you’ve got any questions regarding their suggestion it would be best to continue the conversation with them over email. If you can’t locate their reply I’d recommend searching your spam/junk folder or searching your inbox for any emails from zapier.com in case. Sometimes their emails can end up in the spam/junk folder by accident.
