Issue around Facebook Lead Ads and Zapier triggers

Hi all,

I’m hoping someone can clarify expected behaviour around Facebook Lead Ads and Zapier triggers.

Zap setup:

  • Trigger: Facebook Lead Ads (for Business Admins)
  • Action: Microsoft Dynamics 365 – Create Lead

The trigger is pointed to a specific Facebook Lead form. We’ve submitted that form multiple times using the Facebook Lead Ads Testing Tool.

What works:

  • When I test the trigger in Zapier, data is successfully retrieved from the Facebook form.
  • Fields are mapped to the Dynamics 365 “Create Lead” action and that step tests successfully.
  • A full Test run of the Zap inside Zapier completes without errors.
  • The Zap is switched ON.

The issue:
Despite all of the above, the Zap never fires automatically when a lead is created via the Facebook Lead Ads Testing Tool. No task history appears, and no lead is created in Dynamics unless I manually test the Zap.

Question:
Should this Zap fire when a lead is submitted via the Facebook Lead Ads Testing Tool, or is the testing tool not expected to trigger live Zaps? In other words, do I need to submit a real lead from a live ad for the trigger to fire?

If anyone has run into this before or can confirm the expected behaviour, I’d really appreciate the insight.

I am having the same issue but instead of Dynamics 365, its an email. Some leads get zapped and sent through toe email and some don’t for odd reasons. Have been in touch with support, but haven’t been much help. Let me know if you have a solution.

Hello,

We have worked through all the suggested fixes for the Zap not triggering article and everything seems fine. Are there any other suggestions please? Any other way to troubleshoot?

 

Zapier does not have CRM access 

Zapier has access

 

You do not have admin access

Business portfolio access

 <Facebook User> has full access to the business portfolio and can manage everything, including settings, people, tools and business assets. <Facebook User> can delete the business portfolio at any time.

<Business Name>

Full access: Everything

Assigned assets24 Pages, 4 ad accounts, 3 Instagram accounts, 1 catalogue, 15 pixels, 3 leads access and 15 datasets

 

Your lead form ID is incorrect

This has been triple-checked

 

You need a sample lead

We have sample Leads:

 

Your Zap is turned off

It is Definitely on.

 

Your connection expired

Connection tests fine (I can see other that have expired – this one definitely has not expired)

 

I will appreciate every help or support to get this working.

I saw you reached out to our Support team about this issue, but it looks like they haven’t heard back after their latest message, so I’m not sure whether this is resolved. Sharing their suggestion here in case it’s helpful for you or anyone else running into similar issues with Facebook Lead Ads:

We see a fair bit of this with FBLA users - it comes down to how the permissions within FBLA have been set up, which is more complex than most apps. I find this is the best way to check on the permissions that have been set up. Could you please follow the prompts, and see if you get any errors when tracking the status? If you get a 103 error, that's the most common reason as to why the leads don't get sent (yet the test when setting up may work), and there'll be instructions on how to adjust the CRM permission to resolve this.

Hello,

We have sample Leads working fine and the Facebook and CRM permissions are also fine.

We need to try to trace the lead to see where it's failing.

Can we get help with that please?

Hi,

See summary of the issues below

  • Using Zapier with Facebook Lead Ads (for Business Admins)
  • The Facebook connection in Zapier has not expired
  • Sample leads created via the Facebook Lead Testing Tool are visible in Zapier when I click “Test / Find new records”
  • The Zap runs successfully when manually testing the Zap
  • The Zap is pointing to the correct Facebook Lead Form (confirmed via Form ID)
  • Facebook permissions have been triple-checked and the user has full access (Page, Ad Account, Business Manager)
  • The Zap is 100% turned on

 

The problem:

When a lead is created using the Facebook Lead Ads Testing Tool, it does not trigger the Zap automatically, even though:

  • Zapier can see the test leads during trigger testing
  • The Zap itself runs fine when tested manually

 

At this point, everything appears to be configured correctly, but the trigger simply doesn’t fire on its own.

 

Additionally,

We tried submitting a Real lead via a Facebook campaign and the Zap still did not fire, even though we can see the lead submissions in Meta Business Suite.

 

We would appreciate all the HELP to get this resolved soon because this issue has caused a significant delay in our CRM integration project.

I don’t have access to be able to look into the logs for your Zap so our Support team will be the best folks to investigate whether we’re receiving anything from Facebook for that missing lead.

That said, in my experience when a Zap isn’t triggering for new Facebook leads it’s almost always down to the permissions. I know you’ve already checked the permissions but is there any possibility that the permissions might have been updated after the Zap was connected to the Facebook account? If so, the Zap would still be connecting to Facebook with an older set of permissions, not the current ones. If that’s the case, then if you reconnect your Facebook account that should allow the Zap to connect to Facebook with the updated set of permissions.

Can you give that a try then try submitting a lead and let me know whether that triggers the Zap?
