Is it still not possible to pull all team members time entries from Clockify?

Hi,

I’m looking at using Clockify to collect time entries from the organisation and import the data with Zapier and onwards to Airtable.

The “New Time Entry” trigger works well for my own hours, but doesn’t pull team members time entries. 

Clockify’s support says it’s not possible to pull anything else than own entries.

Zapier’s chat support said it should indeed be possible with the Clockify connection being made with an admin/owner account in Clockify, which is what I’m using.

Found this 3 years old topic that says it *then* wasn’t possible, due to Clockify’s limitations:  

Would anybody know the exact and full story? Clockify uses an API key for Zapier which seems to be personal.

Doesn’t make much sense in any other setting than solo entrepreneur to build such an integration, and those are not the first to need the whole thing.. ;).

Thanks for your question! This, unfortunately, comes down to a Clockify API limitation, not a Zapier one.

 

Clockify’s Zapier integration authenticates using a personal API key, and the time entry endpoints are user-scoped. Even if the connected user is a workspace admin or owner, the API key still represents an individual user rather than the whole organization.

 

Per Clockify’s own API docs, time entries are retrieved via user-specific endpoints, for example:

GET /api/v1/workspaces/{workspaceId}/user/{userId}/time-entries

Because this endpoint requires a specific userId, the Zapier “New Time Entry” trigger can only pull entries created by the authenticated user (the one who owns the API key). Admin or owner permissions don’t expand the trigger’s scope to include other users’ entries, which is why older community posts on this are still accurate.

 

Feature request update

We’ve got an open Feature Request for the “Find Time Entry” search to find entries for any user in the workspace, to which I’ve added you as an interested user.

 

If this Feature is implemented, it could help you achieve your goal while paired with a different trigger, such as a Schedule by Zapier trigger.


This was raised by Zapier Support and shared directly with the Clockify team.

 

I’ve added you to that feature request so you’ll be on the list of users to notify if/when Clockify expands their API or updates the Zapier integration to support workspace-wide time entry access.

Thanks Sebastian M, and sorry for the late reply!

That clears it up, it makes perfect sense. They have made it the total opposite of e.g. Calendly, for which one can choose the scope for the integration, user or organisation.

Hope Clockify will sort it out, but we need to find another solution for time recording since we centralise all data down to Airtable.

Hi ​@Sebastian M, just to follow up a bit. I found two of your blogs on this topic, but they seem gladly to ignore this topic. Would you be able to pass on a suggestion to include this in their reviews, or review such services that allow for organisation scope integration? I just wasted half an hour on looking at Jibble as per the blog’s recommendation, just to find out it uses the same user specific ‘secret’ to connect to Zapier :).
