I am trying to have Zapier add a comment to an Asana task when a FreshService ticket with a matching INC# is updated.

My zap keeps erroring at the final step, saying that my text cannot be found. Why is the last public comment’s data not being found in step 1?

Hi @susanmwaxler

Task field expects the ID of the Asana Task rather than the Name of the Asana Task.

Hmmm… like this?

The Test is still failing. This is my first Zap, so thank you so much for your help!

@susanmwaxler

For the Text, field the mapped variable value has “No data”.

In Zap steps, required fields expects a valid value.

It may mean that the Freshservice Ticket has no “public comment”.

Add a Filter as Zap step 2 to check there is a value for “Latest Public Comment”.

@Troy Tessalone , thank you.

Unfortunately, I can’t seem to get Step 1 to pull the field “Latest Public Comment.”  I did put the filter in place as you suggested. But step 1 isn’t showing that field for ANY of my tickets that is pulls.  And I know for certain that there are fresh public comments on them.

Scrolled through all of these, and it isn’t showing.

@susanmwaxler

Try this...

Add a Filter as Zap step 2 with a condition that checks the “Last Public Comment” exists.

Turn the Zap ON.

Test live.

Check your Zap Runs history to see the DATA IN/OUT for each step to help you trace the data flow and troubleshoot: https://zapier.com/app/history/

@Troy Tessalone

It doesn't let me get that far. I can’t test it live.

When I turn the zap on, I get this email about 2 seconds later.

@susanmwaxler

You need a Zapier paid plan in order to turn Zaps ON with 3+ steps.

Make sure to address any Zap step issues/warnings. (You can skip testing a Zap step in the TEST tab.)

Check your Zap app connections here: https://zapier.com/app/assets/connections

@Troy Tessalone

I’m in a free trial of the Paid plan. Activated this morning. Unless I missed a step somewhere.

I just verified my email from the Profile page, thought maybe that was it, but I still got the same email when I turned the Zap on. :(

@susanmwaxler

In the Zap Editor check the Change History to see clues as to why the Zap turned OFF.

Hey @susanmwaxler 👋

Just came across this and saw you reached out to our Support team who were able to potentially identify why the Zap kept turning off. Seems it was likely due to the connected Freshservice account having an Agent role instead of an Administrator role.

To summarize things here:

  • The Zap was initially erroring as the Text field in the Asana task which required a value didn’t receive one, as the selected Latest Public Comment field (from the Freshservice trigger) was empty.
  • Then when the Zap was turned on, it errored due to the Freshservice account not having an Administrator role.

I’ll mark this as the best answer for now, but please do let us know if there was a different reason behind the Zap turning off unexpectedly or if you still need any help. In the meantime, happy Zapping! 😁⚡
