Google Forms Fields Not Updating

Had a heck of a time resolving this issue, so I thought I’d post here for others’ future reference:

I created a Zap between a Google Form and my team’s Miro board, to create a new Card whenever the Form was submitted. However, when I changed the fields/questions in the Google Form, I couldn’t get those new fields to show as options in the Miro step. I tried the Refresh Fields button, deleting the Zap draft and restarting, reconnecting Google Forms in my Zapier account, connecting to a different Google Form and then back to the original… nothing worked.

UNTIL… I focused on the Google Forms step in the Zap instead. In the third mini-window (Test), I clicked Find New Records, and that unlocked those Google Form fields in the subsequent Miro step. Hopefully that helps.

To the Zapier team: I’d recommend reworking your Refresh Fields functionality to automatically look for additional fields, even if they’re not a part of the original Record selected in the previous Google Forms step.

Best of luck to all!

Hey @petr3007, welcome to the Community! 👋

Thank you for sharing your troubleshooting process for anyone that might come across this!

To clarify further, whenever fields are updated in the triggering app, it is necessary to pull new samples that reflect these changes. At the moment, trigger samples are not pulled automatically. Just like you figured it out, when you want an updated sample, it is necessary to pull a new record.

The Refresh button that appears at the top-right of a step is intended to refresh the fields of the app connected to that step, not the field values mapped in it.

Let’s say that you’ve added a Google Sheets step to your Zap to create a new row when your Zap triggers on a New Form Submission in Google Forms. If you add a column to the connected worksheet, you can use the Refresh fields button in that step to ensure that the newly added column appears in the editor.

Regarding your suggestion, I believe it is aimed at having more visibility of how the trigger sample records work, and implementing a method to pull updated samples automatically. I can definitely forward this feedback to our team! Is there anything else you’d like to share anything else before I do so?

I hope this above helps better understand how sample records work in Zapier! Let me know if you have any other questions — I am happy to assist.

Did this topic help you find an answer to your question?

Thanks for the reply and explanation, Marge.

No, I think that makes sense, and that’s a good summary of my suggestion.
