Gmail account showing in Setup step but not in Configure step

I have a Zap rule that is designed to send an email notification based on completion of a Docusign envelope.  The emails are supposed to originate from a Gmail account created for one of our clients.  The Gmail account shows on the App Connections page in Zapier, and it can be chosen as the ‘Account’ in the Setup portion of the “Send Email” step of the Zap rule, however, it does not appear as an option for the ‘From’/Sender field in the Configure portion.

We have several other rules setup in a similar fashion for other clients, and those have no issues.  It seems like the problem would be related to the Gmail account for this specific client needing to be reconnected, but as mentioned previously, the account shows on the App Connections page and doesn’t show any signs of not being connected.  Wondering if anyone else has experienced this type of issue?

@Sparsh from Automation Jinn @AndrewJDavison Thanks for the follow up.

I was able to work with my IT team to help resolve this - including some details below in case someone else has a similar issue:

Instead of trying to reconnect the existing Gmail connection, they basically removed the Gmail connection for that account entirely, then added it back as new and re-shared the access with me.  When I went back into the existing Zap rules that had been utilizing that account, I then saw the pop up message “The selected connection is no longer available”, which made sense.  From that point, I was able to select the Gmail account in the Setup step, AND it also now showed up in the ‘From’ field of the Configure step, though I now know the default sender would still be that Gmail account even if not explicitly selected.

Hi @Steve_Augins

TIP: Click field labels to see tooltips with more info.

For the “From” field, that field is optional.

If you leave it blank, then it will use the connected app account to send emails “From”.

Tooltip: Default send is your primary email address. Select an alternative email address or alias.

Hi @Troy Tessalone - I tried a few variations of this, but still not getting expected results:

If I leave the “From” field blank, and have the problematic Gmail client account selected for “Account” (in the Setup step), when I test out the rule, my personal email account ends up being shown as the Sender.

I did notice that if I leave the “From” field blank, but choose one of our other Gmail client accounts (one that is being used on a different rule that has no issues) as the “Account”, that client’s Gmail address does show as the Sender when testing, so in that case, the rule would be behaving as expected.

Could there be something else I am overlooking?

Hey @Steve_Augins,

If the client email account is not an alternative address(email alias) then you have to add the client Gmail app connection. See more about it here- https://support.google.com/a/answer/33327. I think as long as you are choosing the client app connection in the Zap step it will work.

If it’s not working please post screenshots of Data In, Data Out as well how each Zap step is configured for us to have more context. Hope it helps!

@Steve_Augins

Can you shot the Setup & Configure tab of the Send Email step - I want to rule out a simple misconfiguration step.

Thanks for sharing the solution, @Steve_Augins! 🤗 Super helpful to know that fully removing and re-adding the Gmail connection (instead of just reconnecting) solved it. I’ll mark your reply as the best answer to help others find it easily.

And a big thank you to @Troy Tessalone, @Sparsh from Automation Jinn, and @AndrewJDavison for jumping in to help out - love to see this! 🧡
