Fellow.ai “New AI Note” trigger not showing all channel recaps in Zapier test records

Hi everyone 

I’m building multiple Zaps using Fellow.ai → monday.com.

Trigger I’m using:
Fellow.ai → New AI Note (Instant)

Issue:
When I test the trigger, Zapier only shows a few recent AI Note records. Some Fellow channels/meetings don’t show up at all in the trigger test results, even though the AI recap exists in Fellow.

What I’ve noticed:
If a new meeting is added and a recap is generated after the channel is created, Zapier detects it instantly.
But for some existing channels, Zapier doesn’t return any trigger samples, so I can’t test or finish the Zap setup.

Questions:
Does Fellow’s Zapier trigger only return a limited number of recent AI notes?
What’s the best way to force Zapier to pull a specific AI Note record?
Is the best practice to regenerate the recap or create a fresh meeting to make Zapier detect it?

Hi ​@Aleem 

Fellow Zap triggers are instant.

Try testing Fellow AFTER you have created/configured the Zap trigger step, then try to pull thru the example from Fellow.

TIP: Create a Zap with a Filter condition in Zap step 2 that won’t pass so you can get the Zap turned ON to use in a live Zap Run test.

Hi, what you’re seeing is expected behavior with the Fellow.ai “New AI Note (Instant)” trigger. Zapier only fetches a limited number of recent AI notes per channel, and it doesn’t automatically pull older notes created before the Zap was active. That’s why some existing channels don’t show up in the test results.

To get a specific AI note into Zapier, the easiest approach is to either regenerate the recap or create a new note/meeting in that channel. This makes the trigger fire instantly and allows you to test and finish your Zap setup. There isn’t a way to manually pull a past note into the trigger.

If you need older notes synced regularly, you could also use the “New AI Note (Polling)” trigger instead of instan -- it fetches notes periodically and may pick up more records automatically, but it still won’t backfill everything retroactively.
