Steps so far

Trigger = Zoom - New Meeting Ended

THEN Dropbox Create Folder (Fields = Formatter output used to get the date + Topic) -- That works.

THEN Find Recording and Download - HELP NEEDED

Using the “Meeting UUID” from the trigger, BUT results = Failed to find a recording in Zoom

Also I don’t see settings to say where it should downloaded to.  (that’s where I thought I would specify the Dropbox folder just created)

Q1. How can I accomplish this?

AIM: Once meeting finished > Create a Dropbox folder (date + topic name) THEN upload (from Zoom cloud to Dropbox) all the files type (video, screen share, audio, chat, transcript etc), THEN rename the files (Date + topic name + file descriptor eg - speaker view with shared screen).

The video files are bigger than 500MB so I can’t use the ‘Upload to Dropbox’ action.

Zoom Settings: [Admin] Meetings set to store in Zoom Cloud, Authentication and passcode settings are toggled off (as recommended by zapier V. Assistant).  Used meeting recorded after changes made.

Q2. Using a personal (as account Owner) with workspace account - Do those settings need to be toggle off for ‘Personal’ and ‘Admin’?

Thanks so much for uploading those screenshots again, it definitely looks like you set up that Find Recording and Download action correctly. 

Just wanted to double-check—after you set the authenticated users and passcode settings to off, did you reconnect your Zoom account before testing that Find Recording and Download action? If not, that might be why it’s not able to find the recording. 🤔 In which case, can you try reconnecting your Zoom account to see if that then allows the Zap to access the recording? 

And if the account was already reconnected after toggling the settings to off, can you try finding selecting a different test record in that New Meeting Ended trigger and test the Find Recording and Download action again? This will help us to confirm whether there’s an issue with that specific meeting recording or if it’s happening with other recordings as well.

Thanks for affirming that I have it set up correctly and I appreciate your help and suggestions.

Yes, I reconnected zapier after updating the settings (in both Personal and Admin > Account Management sections of Zoom). authenticated users and passcode settings to off,

I created two meetings and still no luck for either. Find and Record action = Failed to Find.

Both meetings are definitely in the Zoom a/c (not in the trash) and had finished processing.

I welcome further suggestions!

Zoom said they fixed a bug (response below in italics) - but the step: “Find Recording and Download” it is still not finding the meeting

We understand this caused inconvenience, as the system returned 403 errors due to unencoded UUIDs.

We're pleased to inform you that our team has implemented a fix. The integration now automatically encodes meeting UUIDs, ensuring compatibility with Zoom's API and preventing these errors.

I reconnected zoom a/c to zapier, then tested with a meeting recorded made since the update and still getting error 
“Failed to find a recording in Zoom (2.24.6) The app returned "This recording does not exist.".
The meeting exists in zoom and is accessible.

  1. What is the format of zoom meeting UUID’s?  They are not visible from the zoom account.
    Zap shows the Meeting UUID in a format such as AA1A2AA/AbcdeABCDa1AaBC==
  2. Does the ‘/’ and/or ‘==’ need to be removed from the meeting UUID?
  3. Once found, where would it download to? - there are no fields in the configure tab to tell the zap what to do.
