I have set up a Zap which creates a draft invoice (bill) in Xero when the invoice has been marked as Approved in Worksuite. The Zap is working correctly, but I am missing some data. I am unable to locate the data options for Description (or ‘Item’ as it’s known in Worksuite) and also cannot input the Invoice Name (which serves as reference on the Xero draft). Please can you advise if the labelling has changed or how I find and push this data? 

Also, I am finding that the test data being pulled through is not the latest, even though I have reconnected the Worksite connection several times and refreshed. This isn’t helpful when testing. Can you help?

Help us have more info by posting screenshots showing how your Zap steps are outlined and configured in EDIT mode so we can see the field mappings.

 

NOTE: Some Zap app triggers only provide random examples records to use, rather than the most recent records to use.

I have attached a few images to show you what I’m looking for. Since my first message, I’ve noticed that the Invoice Reference is correctly pulling through so that no longer needs to be addressed. It’s just the Description.
I have attached a view of the invoice set-up in Worksuite, and also attached a view of how this shows in Xero as a draft invoice. I have attached a detailed view of the ‘Create Bill’ stage in Zapier too. I am currently using ‘Payment description’, but this does not pull through. I have also tried searching for ‘Item’, ‘Description’ and other possible combinations using keywords like ‘Payment’ or ‘Invoice’, but can’t locate anything that works. Note - The test data in the Zap is old as it doesn’t pull through the latest data.

Thanks for the screenshots!

Your Zap might be using an older sample data where the some of the data that you’re looking for is not present. I’d recommend loading a new sample data by clicking the “Find new records” button in the trigger step. Like so:

After that, please use the latest sample data and remap the fields in Xero action step.

I have tried this but can’t get new data - as per my note in the initial query:

You might be running into a bug here. I would recommend reaching out to our Support Team regarding this issue since our Support Team has the correct tools to look closer at the Zap and its logs.
