Difficulty creating Zap that deletes an event from TeamUp Calendar when Outlook event is deleted


Hello,

 

I’ve been unsuccessful creating a Zap that deletes an event from Teamup when the same event in outlook is deleted.

I have successfully created a Zap that add a new event to Teamup when a new event is added to Outlook.

 

So far I have searched community help, watched youtube videos, and even tried following Chat GPT suggestions to no avail.

 

As best as I can tell I’m correctly matching ID fields yet the error messages indicate that Zapier cannot find the event whether deleted or not before the test.

 

Any guidance is appreciated.

Sorry to hear that you’ve been running into some trouble setting up a Zap to delete events in Teamup when the corresponding event in outlook is deleted.  

Can you share a screenshot showing what fields and settings have been selected in the Configure section of the Find Event Matching Remote ID and Delete Event Teamup Calendar actions? As well as screenshots of the errors you’re seeing? This will be super helpful to us in figuring out what might be causing the trouble here since we can’t look into your Zap directly. Make sure to blur or remove all personal information (names, emails, addresses etc.) from screenshots before sharing—you can use a tool like Zappy for that.

I’ve tried to use the only Outlook ID field that is consistently unique that is available in both Zaps.  I have submitted this to TeamUp calendar support also but don’t yet have a reply.

When creating the add new event Zap another unique Outlook field “UID” is available to map however that is not an option when creating the delete event Zap so I’ve stuck with the “ID” field as the unique field.

The attached PDF is what I see.  I’m fairly proficient with Zapier and use it for a number of active Zaps.  This one has me stumped.

Hi ​@gbazick1,

I believe the Delete Event step requires you to map the ID of the event in Teamup Calendar. I’d recommend adding a Find Event in Teamup Calendar step to get the ID and map that to the Delete Event step.

Thank you ken.a!  I’ll give that a try today.  Is that function available in free accounts or does it require a subscription?

I have both.  If I can get this to work in a free account I’m going to teach my colleagues how to set this up in their free accounts too.  If it requires a paid account because of the number of steps then I’ll present to my leadership as justification for the company to subscribe so we can do it for all.

ken.a I think that got me closer.

In Teamup there is no visible indication of the Teamup meeting ID in the GUI.  However, when an event is created an automated email is generate as a confirmation and in that message the unique Teamup ID is in the heading.  See below screenshot.

 

From the Zapier step error that appear to be what I’m now missing.  The problem is, that ID isn’t visible in the previous step options to map.  In contact with TeamUp help now to see if there is a way to get that.  I’ll post the response here for the community.  Thanks again!

Thanks for the update.

That’s strange. Could you please send a screenshot of the Data OUT of the Find Event Matching Remote ID step? This will help me take a closer look at the data that’s being returned from that step.

I'll be keeping an eye out for your response!
