Data present in Square but not polled by Zapier


Hi, 

I’ve created a Zap that adds Square payments to a Notion database. It all tested fine although I did later change something in the Notion database (using a multi-select field rather than a single select field) which meant the subsequent Zap runs failed. When I saw the error message I rectified the field type in Notion and re-ran the Zap. This time it worked but I found that half of the payments received this past weekend were not detected and so didn’t get posted to the Notion database. 

I’m not aware there was any downtime in Square this past weekend, and the payments were indeed processed by Square, so it’s more the Zap that seems unable to identify them. There’s no error message in Zapier, so I’m not sure why this data isn’t being read. I have had some sales since the weekend and those were added fine to Notion through this Zap.I’ve clicked on Run on a few different days and still it tells me there is no new data.

Any suggestions on what to test/rectify/ look into further please? Thank you!

For the Zap trigger step with Square, check the Location field configuration.

Screenshots did not show the CONFIGURE tab for Zap step 1.

 

Check your Zap Runs history for activity and to see the status of the Zap Runs that fired. (e.g. were there errors?)

This will show you the DATA IN/OUT for each step to help you trace the data flow and troubleshoot.

 

If there are missing Zap Runs, then it could be related to one or a combo of these:

  1. Zap was turned OFF
  2. Zap trigger step app connection issue and needs to be reconnected: https://zapier.com/app/connections
  3. Zap trigger step not configured correctly
    1. Check the selected Location (optional field to set)
  4. Zap trigger app had issues during that time
    1. Check the Square status page:
      1. https://www.issquareup.com
      2. https://www.issquareup.com/united-states/history
  5. No live data during that time that would have triggered the Zap

 

Thing to check...

Did the Zap get automatically turned OFF due to too many errors?

Check your Zap Change History for clues and context.

If yes, then you will have data loss for that period of time while the Zap was OFF.

If supported, you can to transfer existing data. (help)

Otherwise, you will have to backfill that data manually.

 

Make sure to turn on Error Ratio Override in your Zap Settings.

Hi ​@Troy Tessalone , I really appreciate your help. Here are some screenshots, I hope they’re of good enough resolution? In case my explanation of what’s happened isn’t clear, I’ll summarise again:

  1. Zap was successfully set-up and running: whenever a new payment was made in Square, a database in Notion had this added to it
  2. I edited a field in Notion that must have caused an issue with the Zap without my realising (I added or updated a property such that it was a multi-select field - “Source Detail” in the screenshots below, which I want to be left blank when the payment is added to Notion in any case).
  3. Not realising this, I went off to a show March 1-2 and processed Square payments all weekend
  4. Upon my return March 3rd, I checked Notion, saw there were no Square payments all from this time period, then saw the Zap runs were all paused. I think “paused” was the term, at any rate in the Zap histories I don’t see any errors or mention of a pause, I just see that the first step - finding the new Square payments - was on March 1st, and second  step - sending a database item to Notion - occurred on March 3rd when I updated the problematic Notion field from multi-select to single select, and replayed all these paused Zaps.
  5. After replaying all, I noticed that Notion only got updated with payments from March 1st morning, and all payments from March 1st afternoon and all of March 2nd were missing from Notion. Re-ran the Zap, checking for any errors (there weren’t) and just got the message “we couldn’t find any new payments”. This is clearly wrong as there were a bunch. Moreover these missing Square payments are detectable by Zapier when I go into Edit/Test mode and get it to pull new data - the new records Zapier pulls for testing include some from March 2nd. Even today, if I run the Zap it tells me there’s no new payments.
  6. The Zap has been running successfully on new payments after March 2nd, so it’s just payments from this block of time that is missing and I’m failing to see any reason why.

Hi ​@Troy Tessalone Thanks so much for getting in touch. I’ll put screenshots below (hopefully resolution is good enough?), but also wanted to summarise the issue more clearly:

  1. I created a Zap that polls for new Square payments and then updates a Notion database with some of the fields.
  2. After creating the original Zap which worked well, I must have tweaked one of the fields in the Notion database and set the field property type to ‘multi-select’ instead of ‘single select’.
  3. I went off to a market on March 1-2 and processed multiple payments with Square. Upon return March 3, none of these payments appeared in Notion as the Zap had been paused due to an error. I cannot find a trace of the pausing of the run in the Zap histories, nor mention of why it was paused, but I do see that the Square payments were found on March 1 and then pushed to Notion on March 3 after I edited that field property in Notion and replayed the Zap.
  4. Then I noticed that only half the payments from March 1 actually show up in Notion after replaying the Zap. No payments from later in the day on March 1 nor any from March 2. There are no error messages to this effect in Zapier, and when I re-run the Zap (done multiple times now), I just see a message to say that the Zap found no new payments. However there are plenty of new payments from that time period that don’t show up in the run history.
  5. I notice that if I edit the Zap and pull recent data for testing, it does manage to pull data from March 2. It’s just flying under the radar when the Zap is published and running.
  6. I’ve had successful runs of the Zap since March 3, with no pausing or error messages.

Thanks for any insights into this error for which I canot see any explanation!

I think the issue was probably that the error ratio went too high and it automatically stopped running. This would explain the data loss. I’m not on an enterprise plan to be able to override the ratio, and Square isn’t a supported app for data transfers, so I’ll just imprt a CSV file into Notion instead. None of the other checks/solutions throw anything up.
