Cognito forms - issuing a reminder based on cognito data

I have created a RMA form that tracks Returns for our company.  If a return has not been touched in 20 days, I would like to send a reminder to our customer that a return is pending and might be cancelled if we do not receive the merch back.  Is there a way to:

  1. weekly, start a task that reviews records in the RMA form in cognito
  2. sends a reminder email to our customer if the date sent is 20+ days old
  3. sends a note to the sales team to follow up if it is more than 30 days old

Not sure how to spin the records in the cognito form (database) on a weekly basis using Zapier.  Cognito does not offer this functionality.

Good question.

 

You may want to take a different approach using Airtable.

Log and manage all the Cognito Forms submissions in Airtable.

Airtable has Views, which are segments of data. (sort, filter, group, show/hide fields, reorder fields, etc.)

Views can be used to trigger Airtable Automations or Zaps.

Airtable Automations have a native integration with Gmail.

Thanks for your help Troy.  I looked at the Airtable site.  They don’t have an integration with CognitoForms.   I will be asking them if I missed the integration…

It doesn’t look like the schedule zap can spin all records in the table to determine age.  I am not sophisticated enough to use the API calls.

You would use a Zap to send data from Cognito Forms to Zapier.
