Hello, All.

I’m trying to sync a Calendly booking form (used from a routing link) to a New People > Leads > New Leads Workspace/Board/Group in Monday.com CRM. I made it through the preliminaries just fine. Calendly is happy with my routing/logic sequence, and Monday.com is fine with the Board group in question. Similarly, the first two steps in creating the Zap are fine, too: connecting both programs to Zapier and identifying the source and destination. I even tested a filter, and it worked well, too.

The issue surfaces when I try to integrate the fields from Calendly into Monday.com. I’m good through customer name, phone, email, and appointment date … and then no other data surfaces ↘️

Each of those fields circled in red is otherwise unremarkable: it is either a “choose one” Status column in Monday.com (which I was told to use) for linking to the Calendly booking form, or it is a simple text field. But they simply don’t show up here like the basic bio stuff did: ↘️

This is just an example, of course. I get the same nonsense whether I choose the booking questions re: Case No. … or Opposing Party … or Why do you need help? In each instance, I do get a big pile of Questions And Responses [Question] [Answer] on the left (Calendly) source panel. But none of them offers more than the notation “No Data” when I try to plug it in on the right - and there are no “more” hyperlinks adjacent to any of those alternatives like you see in all those terrific YouTube tutorials where everything pops right up.  >:/

I’ve tested everything I can think of, whether searching for embedded terms, verifying the Monday.com board and Calendly booking page, or deleting the Zap itself twice and started each time from scratch. None of it makes a difference. The left menu simply won’t give me the option of adding in all those extra Calendly fields from my booking form.

Has anyone encountered a problem remotely akin to this? And before you answer(!) …

Yes, I have global admin permissions.

Yes, I rebooted.

Yes, I logged out/in on both programs.

Yes, I cleared my browser cache.

Those always seems to be the knee-jerk, go-to suggestions, so I thought I would save people the trouble of going there!

Ps. Also, I skipped over the offending portions and published the Zap, just to see if anything would work. When I ran a sample booking, I did receive the name, phone, email, and appointment date/time in their proper Monday.com columns. And the test appointment does show on my Outlook Calendar. But the remaining columns - the fields for which I could import no analog in Zapier - are all blank.

But that experiment does, at least, tell me that the connection itself, sc. between Calendly and Monday.com worked, or none of the information would have made it at all.

Turning on the zap and running the test is actually a great step, kudos on doing that! I do have a few things that might help you:

 

  1. Check the Zap Run History here and see if the data came from Calendly
  2. Once you confirm that the data came, go back to your zap and edit it, click on Test then get new test data (it should show the answers now if the answers came from Calendly)

I ran the test, and it does show that the “good” information (i.e. for the fields I was able to integrate across the playing board) came from Calendly. But I already expected that. If it hadn’t come from Calendly, my Monday.com board would have remained barren of any hint that an appointment was scheduled.

The problem is not that I’m receiving error messages or other evidence of failed links. The Zap does populate name, phone, email, and appointment date. Those aren’t the problem. The problem is that the left panel, from where I draw my Calendly source material to plug into the right (Monday.com) column, simply does not give me any of the other Calendly data, i.e. for the client’s case-specific information.

I can’t find it anywhere. It’s as if those fields never existed in Calendly. And I did fill in all the fields when I posed as a law firm customer and “scheduled an appointment” for myself. I chose a court venue, entered a bogus case number and opposing party, and provided an explanation for why I needed “help.”

Its clear that the issue is the routing form, you will need to use another action which us New Routing Form Submission to get the data you are looking for.

I was grateful for his effort, but I’m not sure he understood my difficulty.  :)

I am aware of the New Routing Form Submission alternative, and I tried it before. It doesn’t provide any of the fields that appear on the Calendly form that we created. In that sense, it was the same sort of problem we encountered with New Invitee; it was just a question of different fields being missing. In the end, we solved the general difficulty a different way: we stuck with New Invitee and experimented with alterations until the data went through.

It seems like it should not have been so difficult; the YouTube content makes it seem like a breeze, but it is not. And we’ve encountered a similar problem with mapping LawPay ➡️ Monday.com, which had me on a tech support chat yesterday. (As with Calendly, some data fields simply don’t appear on the left panel when you choose Custom instead of Static. No apparent reason. They just ... won’t show.

Bottom line, I love the Zapier app, and I’m not ready to give up on it. But it really fights us whenever we try to create something new, and it’s exhausting.

FYI: Calendly somewhat recently changed their API which impacted the data structure and data points returned as part of the Calendly Zap app newest versions, which is likely the source of confusion and frustration configuring Zaps using Calendly.

 

The data is there from Calendly just a matter of understanding how to access it and map it correctly.
